Job Description

The Administrative Assistant will provide timely and effective administrative support to an office, business unit, department or group of professionals within the organization. Perform duties according to the established procedures so these activities are completed accurately and on time.

• Provide administrative support to the Executive Assistant team with high degree of initiative, confidentiality and professional demeanor.

• Prepare expense reports in a timely fashion, with proper receipts and job codes provided

• Assist in planning and managing department and team meetings, arranging appropriate conference room reservations and catering

• Ensure conference room equipment is operating and rooms are setup for meetings; understand how to operate equipment and provide assistance when needed; escalate problems to IT

• Understand overall agency operation and basic knowledge of Groupe, department, team and clients

• Maintain professional and courteous relationship with co-workers, executives, vendors, clients and guests

• Continually prioritize tasks and be able to effectively communicate delivery expectations to stakeholders

• Input weekly timesheet

• Reports to Senior Executive Assistant with regular interaction with other team members and agency operations personnel

Qualifications

• Experience in similar administrative or coordinator level roles

• Proficient with Microsoft Office (Excel, Word, PPT, and Outlook required) plus learnings of company tools such as Altair, AmEx Global travel, etc.

• Excellent written and verbal communication skills as well as time-management capabilities

• Comfortable working with top-level executive management team and handling sensitive and confidential information with the highest degree of integrity

• Highly organized and confident working independently on tight deadlines

Additional Information

Compensation Range: $58,500 - $88,000 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. For this role, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
