Job Description:

Join the leadership team at the University of Florida's Department of Emergency Medicine as an Assistant Director of Health Care Administration! Reporting directly to the Vice Chair of Administrative Affairs, this role plays a critical part in managing the finance, fiscal, and accounting aspects, including management of the department’s annual budget (approximately $57 million) within our complex clinical and academic department. The Assistant Director will oversee all activities related to finance operations, research administration, and strategic initiatives, ensuring recommendations are financially viable and prudent in alignment with departmental goals.

The University of Florida, College of Medicine, Department of Emergency Medicine, actively seeks a motivated and experienced individual to join us as the Assistant Director of Health Care Administration. This position offers a unique opportunity to contribute to our department's vital functions while working in a dynamic team environment. As the Assistant Director, you will report directly to the Vice Chair of Administrative Affairs, playing a key role in managing a diverse portfolio of responsibilities, focusing on finance, fiscal administration, and research oversight within the Department of Emergency Medicine.

The UF Department of Emergency Medicine proudly maintains an affiliation with UF Health Shands Hospital, a distinguished 1,162-bed teaching facility renowned for its Level 1 trauma center and cutting-edge burn center. As the primary referral center for North Central Florida, our institution stands as a beacon of excellence in healthcare. This affiliation underscores our commitment to top-tier medical care and innovation.

Key Responsibilities:

Fiscal, Finance, and Accounting:

  • Oversee financial operations including planning, budget management, and reporting.

  • Establish and supervise accounting procedures for accounts payable, receivable, and reconciliation.

  • Manage departmental funds, monitor cash flow, and prepare budget reports.

  • Develop annual budgets, manage equipment inventory, and oversee contract negotiations.

Grant and Research Fund Management:

  • Oversee grant and research fund development and ensure compliance with university and sponsor policies.

  • Manage grant distributions, monitor project finances, and support departmental initiatives.

Department Administration:

  • Manage payroll, coordinating clinical practice finances, oversee equipment inventory and contracts.

  • Administer compensation plans, facilitate incentive payments, and conduct salary analyses.

Department Operations:

  • Manage clinical assignment allocations, ad hoc reporting, preparing presentations and status reports for effective communication and tracking.

  • Participate in leadership efforts, and represent the department on internal and external committees, as assigned and coordinates all fiscal audits.

  • Supervise finance, fiscal, and research staff/leadership.

  • Effectively design and appropriately execute a system of internal controls which provide reasonable assurance that financial information is properly reported, the assets of the department are safeguarded, and ensure compliance with applicable laws, regulations, policies and procedures.

Expected Salary:

$95,000 – $110,000; Commensurate with education and experience.

Minimum Requirements:

Master’s degree in an appropriate area and two years of relevant experience; or a bachelor’s degree in an appropriate area and four years of relevant experience.

Preferred Qualifications:

  • Strong understanding of financial operations management in a complex organization, preferably in healthcare or academic medical setting.

  • Experience in the clinical environment as it relates to billing, collections, projections, and budget management

  • Proficiency in Microsoft Suite (Word, Excel, PowerPoint, Outlook), especially financial management tools.

  • Ability to manage and lead financial and research teams effectively.
