The posted salary range budgeted for this position is between $3,770.33 and $4,830.69 monthly. New hires will be typically brought into the agency at a starting salary between the posted minimum and the average pay of employees in their same classification in the Office of Operations unless the average pay exceeds the midpoint for the state positions classification salary group. Offers will be commensurate with the candidates experience and qualifications and will thoughtfully consider internal pay equity for agency staff who perform similar duties and have similar qualifications. The top half of the posted salary range is generally reserved for candidates who far exceed the requirements and qualifications for the role. This position is funded through August 31, 2025, with federal stimulus funds. Continuation of the position beyond that date is contingent upon available funding. Position OverviewThe Executive Assistant II will directly support the Associate Commissioner of Organizational Development within the Office of Operations at the Texas Education Agency in their role to oversee two divisions (Alignment and Delivery Unit and Education Service Center (ESC) Strategy and Support) and other alignment and continuous improvement efforts on behalf of the Office of Operations for the TEA. The Executive Assistant II performs highly advanced (senior-level) professional assistance work for the Associate Commissioner of Organizational Development. This work involves handling confidential information, corresponding with other state agencies, external organizations, and other high-level contacts. In addition, the Executive Assistant II collaborates with other staff regularly in the Office of Operations to facilitate a smooth functioning, efficient, and responsive unit. As such, this blended position requires an in-office presence in Austin three-five days a week. This individual will manage the Associate Commissioner of Organizational Developments calendar to ensure accurate meeting scheduling and will coordinate calendars for department leadership, and across divisions, with other Office of Operations leaders, executives, and organizations on behalf of the Associate Commissioner of Organizational Development. This position provides advice on administrative matters, including evaluating administrative practices or programs, formulating and interpreting policies and procedures, and makes administrative decisions as appropriate. This individual will develop systems and improve current systems to organize, and project manage the Associate Commissioners scope of work and be responsible for managing the completion and submission of agency forms such as Travel and IT requests. This individual will be responsible for managing the department budget and supply needs using contract management skills, including completing required paperwork and interac ions with Budget and Finance. This individual will work under minimal supervision, with latitude for the use of initiative and independent judgment. This individual will be responsible for confidential and time sensitive material. The candidate must be highly self-motivated, professional, and capable of managing their workload and prioritizing and organizing tasks in a fast-pasted corporate environment while demonstrating a positive and customer service-oriented demeanor. The Executive Assistant may work a hybrid schedule with at least three days in-person days each week. Qualifications: Essential FunctionsJob duties are not limited to the essential functions mentioned below. You may perform other functions as assigned. 1. Administration and Scheduling Management: provide exceptional administrative and technical support to department activities, manage and coordinate calendars, meetings, travel, training registrations, and some general human resource management activities; support delegation and signature processes management; provides support for in-person and virtual meetings on behalf of the Associate Commissioner and for the Operations Office, as requested2. Associate Commissioner Correspondence and Customer Service: manage correspondence letters, emails, inbox management related to the Associate Commissioner of Organizational Development; ensure that all correspondence with internal and external stakeholders reflects Associate Commissioners voice and intent, is timely, and free of errors; provide timely, responsive, and courteous customer service to internal and external stakeholders3. Project and Task Management: work with the Associate Commissioner and other members of the Organizational Development department and the Operations Office to manage deliverables and timelines; coordinate and update project management software, communicate progress, and provide informal and formal status updates and reports as requested4. Staffing, Travel and Advance: support the Associate Commissioner by arranging travel, including the coordination of site visits details with internal TEA teams and external stakeholders; preparing for onsite and offsite meetings; assisting with paperwork and scheduling associated with recruiting5. Minimum Qualifications Education: Graduation from an accredited four-year college or university Experience: At least four [4] years of experience in an administrative or project management role. Substitutions: Each additional year of related experience above the required minimum may substitute for education on a year-for-year basis.
