POSITION OVERVIEW:The Texas Education Agency (TEA) oversees the primary and secondary education of more than five million students in Texas public schools by providing leadership, guidance, and support to school systems. Well-equipped agency employees are critical to ensuring local school districts, superintendents, and teachers are supported to ensure the Agencys Strategic Plan achieves our vision to prepare the public-school students in Texas for success in college, career, or the military. The Facility and Inventory Specialist provides moderately complex logistical operations support and technical assistance. The work involves coordinating and performing various agency support functions, including mail processing, property, asset, and staff relocation, receiving, inventory and storage support, and coordination of building maintenance. This role also includes disseminating information, maintaining files and inventory systems, developing operational reports, and providing general support work. The specialist performs additional duties as assigned and may train others. This role works under general supervision, with limited latitude for initiative and independent judgment. This role will report to the Facility and Move Manager in the Agency Services unit within the Division of Agency Operations. ESSENTIAL FUNCTIONS:Job duties are not limited to the essential functions mentioned below. You may perform other functions as assigned. 1. Mail Finance Supports: retrieve, receive, and distribute US Postal Service mail, FedEx, and other deliveries daily; ensure special mail, including bank and treasury items, is retrieved, properly secured, and delivered to designated staff and/or the Treasury; prepare monthly chargebacks for USPS and FedEx; assists with chargebacks for internal supply orders2. Facility and Move Management: assists with equipment and staff relocations and works collaboratively with other members of the Agency Services team to provide move assistance throughout the agency; shared responsibilities include setting up conference rooms for the State Board of Education, State Board for Educator Certification, and other internal agencywide meetings; assists in the transfer or disposal of agency-owned assets; coordinates record retrieval of files, transport, and refile agency archive records; assists with coordinating pickup and destruction of confidential records3. Supply, Receiving, Inventory Asset Management: provides backup logistical support for supply, receiving, inventory and asset management activities; serves as back-up receiver for al agency-owned assets and supplies; verifies and receives deliveries, supplies, and assets within the inventory system to verify receipt; when necessary, coordinates and reconciles monthly chargebacks for all supply "sales" to agency departments alongside accounting staff; coordinates store and internal supply operations delivery, including stocking and issuing materials, equipment, or other agency-owned inventory; coordinates supply room annual inventory procedures; may collaborate and advise on internal processes for and assist with recommending and implementing agency-wide process changes around agency asset management and supply purchases4. Interagency Coordination: works collaboratively with others to resolve related issues and concerns; serve as back-up liaison for facility maintenance and minor construction requests with other entities (Texas Facilities Commission, Department of Information Resources, Department of Public Safety, Texas Correctional Industries, etc.) Qualifications: MINIMUM QUALIFICATIONS: Education: Graduation from an accredited four-year college or university Required Licenses: Must possess and maintain a valid class C Texas drivers license. Experience: At least one (1) year of experience in logistical operations support activities, move management, and related duties. Substitutions: Each additional year of related experience above the required minimum may substitute for education on a year-for-year basis. OTHER QUALIFICATIONS: Share the belief that all Texas students can achieve at high levels and are able to succeed in college, career, or the military. Ability to work hours other than 8 to 5. May occasionally be required to work weekends and holidays. Ability to perform manual labor, including lifting supplies and materials and lifting boxes, furniture, modular furniture components, and other office equipment. Experience with Smartsheet, the Asset Management, Inventory and/or Purchasing modules in the Centralize Accounting and Payroll/Personnel System (CAPPS), and TxFS, strongly preferred; Ability to compile and analyze data and prepare accurate reports. Skilled in adapting to and executing unexpected tasks; able to take direction, manage multiple projects at once, and meet deadlines. A strong customer-service mindset focused on engaging internal and external stakeholders, actively listening, and collaborating in a results-oriented team environment to solve problems. Success in leveraging different strategies and interpersonal skills to move work forward, demonstrating flexibility and adaptability while ensuring compliance with applicable rules and best practices to meet deadlines. A strong desire to self-reflect, give and receive feedback, and continuously improve. Proficiency with Microsoft Office 365 suite of applications. Ability to develop and maintain productive and professional relationships with co-workers and a wide range of work-related contacts. Ability to identify rules, principles, or relationships that explain facts, data, or other information; and to analyze information, make correct inferences, and draw accurate conclusions.
