What Success Looks Like In This Job

Under limited supervision, perform multiple complex administrative, project management, financial, and clerical duties for the County Manager and Executive Leadership Team. In addition, provide exemplary customer service support in the form of responding to inquiries from internal and external customers. Other duties may include leading a variety of special projects that require analytical, organizational, and technical knowledge. This position will monitor expenses for the office of the County Manager and provide recommendations for cost containment. The individual in this position may handle a wide variety of confidential and difficult situations that require tact and discretion. The individual in this position must have excellent communication and organizational skills when dealing with employees at all levels within the organization.

Examples of Duties for Success

  • Manage calendars for the County Manager and Executive Leadership Team. This includes everything from event RSVPs to confirmation calls to travel logistics. You will own these calendars!

  • Responsible for monthly expense reports, and timecard and leave requests for select senior leaders.

  • Assist the Executive Office Coordinator with requisitions and invoices, as needed.

  • Respond to citizen complaints and route calls to the appropriate person.

  • Maintain personnel files/records and process paperwork for personnel action for the County Manager.

  • Assist the County Manager's Office with compiling the annual budget and monitoring the approved budget.

  • Serve as a coordinator to various committees and commissions, including taking and transcribing meeting minutes and coordinating and assembling information/materials for various meetings for the County Manager's Office.

  • Organize and maintain complex technical filing systems.

  • Perform special projects and assignments as requested.

  • Perform other related duties and responsibilities as required.

Qualifications for Success

  • Digital skillset: Highly proficient in computer software such as Microsoft Outlook (email and calendar), Word, Excel, and PowerPoint.

  • Attention to detail: Ability to pay close attention to detail to ensure the completeness and accuracy of work performed by oneself and/or others.

  • Follow through: Ability to work without close supervision and ensure that work tasks are completed on time and with high quality.

  • Communication: Ability to speak with a variety of audiences in a clear, concise, and organized manner to effectively convey information.

  • Project management: Schedule and coordinate projects; set priorities; adapt to changing priorities.

  • Teamwork: Establish, maintain, and foster positive and harmonious working relationships with all team members; work cooperatively with other departments, County officials, and outside agencies.

  • Decision making: Analyze situations carefully and adopt effective courses of action.

  • Maintain confidentiality.

  • County Knowledge: Learn the functions, structure, and organizational policies of the County and the office of the County Manager; understand the organization and operation of the County, and of outside agencies as necessary, to assume assigned responsibilities.

More Qualifications for Success

Experience: At least three (3) years of experience performing responsible executive assistant office support.

Education and Training:

  • High School Diploma or GED equivalent required.

  • College level course work in Business Administration, Finance, Bookkeeping, Computer Science, or a related field is preferable.

License or Certificate: None.

Background Check: Must pass a criminal background check.
