    Job Description

ADMINISTRATIVE ASSISTANT 2, Center for International Studies (CIS), to perform complex and diverse administrative, HR, and financial duties for the CIS headquarters group. Responsibilities will include assisting with space usage and updating floor plans; submitting and tracking facilities' work orders; maintaining office and kitchen supplies; overseeing a student worker; distributing mail; assisting the director time-sensitive tasks; assisting with identifying, documenting, and implementing process improvements; triaging day-to-day inquiries; coordinating visa application processing for visiting scholars and fellows; assisting with submitting visiting appointments and necessary paperwork; assisting with on- and off-boarding new staff, faculty, and visitors; reviewing, monitoring, and reconciling accounts; assisting with preparing financial and budget reports; serving as back up support for requisitions and purchase orders, tracking deliveries, and coordinating payments; and performing other duties as requested. Job Requirements

REQUIRED: high school diploma or its equivalent; at least three years’ professional administrative/office experience; excellent organizational, analytical, problem-solving, customer service, interpersonal, and verbal and written communication skills; meticulous attention to detail; experience organizing events; discretion and good judgment with confidential information; and proficiency with MS Office/Outlook and willingness to learn new programs/software as needed. Must be able to follow through on tasks; work both independently and as part of a team; and interact with a diverse group of faculty, students, staff, and sponsors. PREFERRED: bachelor's degree; MIT experience; and experience with systems and tools used at MIT, e.g., Atlas, Concur, SAP, Coupa, Zoom, and Slack.
