County Of Isanti Office Coordinator - Probation in Cambridge, Minnesota

General Definition of Work Performs work supervising the office operations of the Probation Department, creating, implementing, and maintaining quality of standards, procedures, and processes; overseeing administrative responsibilities and required reporting, maintaining and administering department software and related training, and related work as apparent or assigned. Work is performed under the general direction of the Probation Director. Supervision is exercised over Administrative Assistant staff. Essential Functions To perform this job successfully, an individual must be able to perform each essential function satisfactorily. Composes and generates the Department's Comprehensive Plan, Fiscal Quarterly Reports, monthly fee balance report, monthly outstanding balance report, weekly Revenue Recapture Reports and Credit Card Payment Report, and daily deposit reports. Provides supervision, training, and guidance to Administration Assistant staff; assigns and distributes work priorities; assists with hiring, performance evaluations, and corrective action; ensures compliance with policies and procedures. Serves as support staff for the Juvenile Unit Develops, implements, and oversees support staff procedures and policies regarding work outcome for daily software system; assists in creation of Department's policy and procedures; reviews support staff unit data entry for accuracy; develops processes for audit reporting. Manages and maintains the Department's accounts payables and receivables operations; ensures proper application of funds; supervises department staff in application of payments; oversees invoicing for past due accounts. Serves as the Information Technology resource for the Department; provides technical assistance with software systems; provides training to department staff with respect to data entry procedures and software systems. Coordinates communication and setup of meetings as directed by Director. Serves as Administrator for the Department s main software system, BCA/ TAC and Statewide Supervision system/S3; oversees operational functions of the systems; trains staff on functionality and updates; coordinates processes with other county departments. Manages the Revenue Recapture program and related reporting; creates best practices procedures in working with the State of Minnesota Internal Revenue Service; oversees application of deposits to proper client accounts and adjusts the State's system as needed. Serves as liaison between Probation and Court Administration and other system partners as directed; creates best practices procedures and open discussion as necessary. Motivates, coaches, assists, mentors, and leads unit staff to ensure department goals and job quality are being met. Perform other related duties as assigned. Minimum Qualifications Associates/Technical degree in accounting, business, computer science, communication, or related field and moderate experience supervising administrative operations, processing documents, providing technical assistance, or equivalent combination of education and experience. Special Qualifications Proficient in Microsoft computer software programs, MS Office, Excel, Adobe Reader, Power Point. Working Conditions Physical Requirements and Activity This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, using hands to finger, handle or feel and repetitive motions, frequently requires speaking or hearing and occasionally requires standing, walking, reaching with hands and arms and tasting or smelling. Sensory Requirements Work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal poken word levels. Sensory Utilization Work requires preparing and analyzing written or computer data and observing general surroundings and activities. Environmental Conditions Work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).
