ABM Industries Project Coordinator in Columbus, Ohio

Overview

Under the supervision of the Regional Manager, Operations Manager & Project Managers, assisting as needed in a variety of daily operational duties.

Pay: $44,200-$59,800 Salary. The pay listed is the salary range for this position. PRIMARY DUTIES & RESPONSIBILITIES

  • Power DB data base management data entry and processing of field test reports as submitted by test technicians, engineers and project managers.

  • Ensure accuracy of all test report data by reviewing with project manager for final approval.

  • Ensure that the test reports are transmitted electronically and in hard copy form to the project managers in their final reviewed, approved completed form.

  • Establish Power DB Dash Boards for all AMP customers.

  • Ensure that each customer designate has access to their dash board.

  • Train clients in utilizing the Power DB Dash Board to effectively monitor and manage their respective facility electrical power systems.

  • Establish client portal sites where all client related contract documentation can be accessed by the customer, to include; invoicing, purchase orders, changer orders, task orders, contracts, agreements, equipment lists, photos and any other electronically applicable documents of interest to the client.

  • Assist Project Managers as needed to; open new jobs in the JD Edwards accounting system, open new work orders in the Corrigo work order management portal, and assembling documents per audit requests.

  • Assist Project Managers as needed to obtain quotes and estimates from vendors, suppliers, subcontractors, freight companies, etc.

  • Assist Regional Manager, Operations Manager and Project Managers as needed with all APS Customer Requests, APS AMP/Monthly Contract recurring Billing requests, JDE Job Number Requests, New Job Input Forms in Connect X and Sharepoint.

  • Manage all travel arrangements required for projects and operations.

  • Participate in the weekly “PM and Scheduling” conference calls.

  • Participate in monthly GM Absolutes Meetings.

  • Assist Project Managers with monthly; financial income statement reviews, final WIP and Spot Report Reviews, monthly forecasting immediately upon receipt of final monthly WIP and Spot Reports, compiling and reviewing month end and YTD sales booking reports.

  • Assist Regional Manager & Operations Manager with contract management including tracking of contract review and negotiation process between ABM and Clients, upload and maintain contracts in CMS insuring compliance with ABM requirements.

  • Assist Regional Manager & Operations Manager with weekly and monthly Aging Reports and AR process and status.

  • Assist Regional Manager & Operations Manager with completing GM Absolutes Workbooks on time, scheduling and assisting in conducting monthly GM Absolutes Meetings.

  • Assist Regional Manager & Operations Manager, acting as Backup Location Requestor in ISIM.

  • Assist Regional Manager & Operations Manager with Salesforce; entering all operational bookings not connected with a sales person before the end of each monthly period.

  • Maintain vehicle list on portal using the Vehicle Equipment List and Wheels Fleet management Site and insuring that each technicians/driver issued a vehicle is included in the sites as assigned to their vehicles and that the vehicle has signed for by the individual technician, insuring that each technician has the full complement of equipment per vehicle. Orders must be approved by Regional Manager prior to ordering.

  • Maintain test equipment list on portal using the Testing Equipment Form and insuring that each technicians issued equipment included in the form has been signed for by the individual technician, insuring that each technician has the full complement of equipment per vehicle. Orders must be approved by Regional Manager prior to ordering.

  • Assist Operations as needed to enter expenses and perform Card Holder Review of expense reports in ABM cCard Portal in the absence an operations administrative assistant, for approval by the Regional Manager at the end of each monthly period.

  • Manage Wheels Fleet Management and GPS Insight Vehicle databases, insuring the accuracy of vehicle and driver information including vehicle maintenance, repairs, emissions inspections and registrations.

  • Assist Regional Manager, Operations Manager & Project Managers as needed to run GPS tracking reports.

  • Provides operational support as directed by the Regional Manager, Operations Manager & Project Managers.

EDUCATION/EXPERIENCE REQUIREMENTS

  • High school diploma or equivalent required. Additional education & training in computers & business.

  • 5+ years’ work experience in the service industry in various operations support, accounting, administrative and office management roles.

  • Requires experience and general knowledge of the electrical service industry, preferably electrical testing and engineering services, administrative, computer and bookkeeping procedures.

  • Familiarity with the ANSI, IEEE, & NETA Electrical Testing Standards.

SPECIFIC KNOWLEDGE/SKILLS REQUIREMENTS

  • Proficient in MS Office, computer-based spreadsheets and related software, as well as good typing skills.

  • Ability to work independently, as a member of a team, and under general supervision taking direction as given.

  • Above average math, reading, and analytical skills are required with the ability to use good judgment when necessary to make solid effective decisions.

  • Clear concise verbal communication, ability to effectively communicate in writing and excellent interpersonal skills to communicate effectively with employees at all levels within the organization as well as clients, customers and vendors.

  • Highly organized with strong attention to detail and the ability to multi-task and set priorities to complete duties in a timely and efficient manner.
