The Henry Ford Executive Assistant to the CEO in Dearborn, Michigan

The Office of the President is currently seeking its next Executive Administrator. This is a critical leadership role for an exceptional professional with experience providing complex administrative support to executives, board members, and trustees. In this position, you will act as the liaison between The Henry Ford, its Trustees, and the Ford family with primary responsibility as Executive Assistant to the President & CEO. Essential Responsibilities:

  • Maintains a positive and professional image of The Henry Ford and the President's office, communicates promptly and efficiently with both internal and external stakeholders such as employees, executives, customers, government leaders, and others.

  • Manages and maintains the President's schedule and shifting calendar, including organizing travel arrangements.

  • Proofreads and edits documents, letters, speeches, correspondence, and other materials as necessary ensuring proper grammar and word usage, often within very tight timelines.

  • Manages all aspects of Board of Trustees meetings, including developing and assembling a branded board book, both written and electronic, and distribution to both Trustees and executive leadership. Composes accurate board minutes, and ensures corporate by-laws are followed.

  • Manages all internal arrangements for board meetings including setting up rooms, providing all documents required, and catering/banquet support. Organizes, coordinates internal resources and staff in support of large meetings both internally and externally.

  • Provides administrative support to the President, including answering phones, taking minutes of meetings, and composing a variety of letters (including letters of condolence); opens, sorts, and distributes incoming correspondence, including faxes and email. Identifies mail requiring high priority handling.

  • Develops and maintains excellent rapport and collaboration with both internal and external stakeholders.

  • Custodian of The Edison Institute documents and corporate records, both electronic and printed. Including organizing and maintaining all files, and documents in the vault.

  • Prepares PowerPoint presentations and other documents as necessary in support of meetings.

  • Works closely with the senior executive leadership, handling both routine and crisis issues with good judgment and ability to prioritize issues, escalating where appropriate.

  • Manages all aspects of the President's Office, including budget development and facilities maintenance.

  • Liaison and resource to the Ford family and Trustees.

  • Coordinates and supervises events sponsored by the President's Office, including VIP receptions, lunches, dinners, visits and tours by national and international dignitaries, and government-related events.

  • Coordinates Trustee, Ford family, and corporate events.

  • Consults on, arranges, and fulfills auction requests as directed by the President.

  • Serves as needed on cross-functional museum teams.

  • Contributes to the effective team management of all problems, issues, and opportunities.

Your Qualifications:

  • Bachelor's degree in business, communication, English or related field. Will consider 15+ years of directly relevant experience in lieu of formal education.

  • Ten or more years' C-level executive support experience.

  • Advanced Microsoft Office software skills; experience creating high-quality documents and presentations.
