The Project Coordinator, Human Resources Planning reports to the Director, Human Resources Planning and is responsible for helping in the execution of multiple enterprise-wide short- and long-term projects simultaneously and assisting with getting all projects completed in an efficient manner. The Project Coord, HR Planning will be responsible for monitoring, and helping to ensure the successful execution of all special projects undertaken by the Human Resources Operations Planning Office. In addition, the position supports the HR Planning office and operations team in the implementation of HR services, programs and initiatives, including team member and labor relations, performance management, learning and development, engagement, compensation, benefits, wellness, talent acquisition, workforce planning, etc. across the network. The Project Coordinator, HR Planning answers general HR questions from team members, and escalates HR concerns as appropriate. The Project Coord, HR Planning will also be accountable for specific functional work products of the department. This position performs required tasks and initiatives following the guidelines and procedures established. This position maintains appropriate documentation and records and delivers services in a professional and efficient manner. This position provides prompt assistance to achieve high levels of customer satisfaction and an overall positive team member and client experience.

Responsibilities

A day in the life of a Project Coordinator, Human Resources Planning at Hackensack Meridian Health includes:

  • Helps in the execution and coordinates large- and small-scale projects, actively participating in all phases of the project. Identifies, assesses, and manages risks to the success of the project. Prepares presentations and reports showing project status and results.

  • Researches and creates presentations to support strategic and operational initiatives.

  • Achieves operational objectives by contributing information and recommendations, preparing and completing action plans and monitors and communicates follow through with assigned executives/leaders.

  • Develops, maintains, and monitors a detailed project schedule by tracking activities against the plan and providing regular reports/updates, as appropriate. Ensures deliverables are met.

  • Assists the HR Planning Office team on a broad range of internal and external activities and special projects including, but not limited to, new hospital and health system affiliations, mergers, integrations into the network and divestitures out of the network; network harmonization and integration efforts; site HR operations support, HR Centers of Excellence new program execution and all administrative matters. Gathers, synthesizes, and consolidates materials for distribution to internal and external stakeholders.

  • Supports the implementation of HR projects and initiatives as assigned.

  • Supports implementation of all HR programs and initiatives across the network in the areas of team member and labor relations, organization development, talent management, performance management, leader development, engagement, benefits, wellness, talent acquisition, workforce planning and compensation. Includes training, administrative follow up, etc. as necessary.

  • Supports leaders and team members in navigating HR systems (self-service, timekeeping, learning management, performance management, etc.)

  • Answers general HR questions and escalates team member HR concerns as appropriate.

  • Supports HR leaders and team members in understanding initiatives and change management. Answers general HR questions and escalates concerns as appropriate.

  • Responsible for the overall updating and maintenance of the HR project management tool and HR Project log.

  • Supports compliance initiatives as needed, including but not limited to licensure and certifications, Joint Commission survey support, and vaccine mandates.

  • Responsible for routine and recurring operational reports.

  • Responsible for producing monthly Human Resources Operations Planning Office reports for executive leadership and any ad hoc reports as requested by the Director.

  • Attends, prepares analyses, and participates in department meetings, as appropriate.

  • Measures and continually improves processes, procedures, programs, and services that enhance the ability to manage workflow within the department.

  • Provides administrative support to Human Resources Operations Planning Office to maintain department operations, such as scheduling appointments and meetings, screening/triaging calls, maintaining inventory, preparing correspondence, training etc.

  • Supports general administrative needs of the network HR team.

  • Responsible for handling confidential and time sensitive material.

  • Other duties and/or projects as assigned.

  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Bachelor's degree or equivalent experience.

  • Minimum of 3 years of experience in a related field.

  • Forward thinking and works independently with little to no supervision.

  • Demonstrates a high degree of business acumen, sound judgment and discretion in decision making, problem solving and project management in a fast paced, high-performance environment.

  • Proficient in either Microsoft or Google office suite, with strong analytical (Microsoft Excel or Google Sheets) and presentation (Microsoft PowerPoint or Google Slides) skills.

  • Experience working in a complex and matrix environment, working with senior leadership.

  • Expert verbal and written communication skills with strong presentation development skills.

  • Excellent interpersonal and partnership skills.

  • Intuitive and results oriented.

  • Highly organized and disciplined with a strong work ethic and sense of urgency.

  • Demonstrates self-initiative and self-confidence, a quick study and is able to accept delegated responsibilities and to initiate change.

  • Deadline driven and results/goal oriented.

  • Open to continuous learning of new project management, analytical, and organizational skills to best meet the needs of the clients.

Education, Knowledge, Skills and Abilities Preferred:

  • Demonstrated knowledge of HR functions and processes, with experience in one or more areas: HR Strategy, HR Operating Models, HR M&A integration, and HR Centers of Excellence.

  • Project management experience.

  • Experience with PMBOK, Agile or other Project Management methodology.

Licenses and Certifications Preferred:

  • HR certification.

  • Project Management certification.
