Administrative Assistant - Residential

We are looking for an Administrative Assistant for IDS Residential.  This is a full-time position reporting to the Senior Director of Residential to support the Residential service line.

Responsibilities:

• Analyzes data and information as requested by IDS Residential Directors and prepares appropriate reports summary of analysis for review.
• Assists in monitoring and review of financial and overtime reporting as well as coordination of corrective actions with follow up to the IDS Residential Director as required.
• Coordinates financial processes, including trust requests, check requests, purchase orders and petty cash requests, receipt and reconciliation.
• Coordinates necessary contracts and bids with outside vendors, such as lawn care, snowplowing, renovation and construction companies, as well as realtors.  Completes follow up of billing and invoice review for submission to IDS Residential Director.
• Responsible for completing Track It requests for Maintenance issues in group homes and Lifesharing facilities in addition to assigned location at the Institute.  Attaches a level of priority to each IDS request and assigns it to designated Maintenance personnel.
• Schedules and prepares for meetings, including email appointments/notifications to attendees, preparing agendas, scheduling meeting rooms, preparing materials and supplies, taking and distributing minutes and follow up items as requested.
• Establishes and maintains filing system to ensure monitoring and follow up of Agency business matters and ensures files are current for the IDS Residential service line.  Brings outstanding concerns to the attention of the IDS Residential Director.

Qualifications:

• High school diploma or equivalent.
• Proficient at using Microsoft Outlook, Word, and Excel. 
• Valid driver's license.
• Eligibility for State Police Criminal Record Check and Child Abuse History Clearance.
• FBI clearance required for individuals who do not meet PA residency requirements
