Colorado State Job Bank Deputy City Clerk in Fort Morgan, Colorado

POSITION SUMMARY Under the general supervision of the City Clerk, the Deputy City Clerk performs a variety of complex clerical and administrative tasks related to the Office of the City Clerk. Primary responsibilities include organizing and maintaining a broad range of City records. Works with City staff in all departments to provide information, records, documents and information. ESSENTIAL DUTIES AND RESPONSIBILITIES Greets and assists visitors to City Hall, includes assisting the public with a variety of requests and questions; communicating effectively in person, over the telephone and in writing. Serves as the first point of contact for visitors to City Hall, providing information to the public on services, programs and activities. Certifies and files documents including ordinances, resolutions and other official actions of the City council. Prepares, assembles and distributes City Council meeting packets. Receives reviews and issues various City licenses and permits. Prepares and processes applications for City permits and licenses including liquor licenses, sales tax and/or business licenses, door-to-door solicitor permits, mobile home permits, occupation licenses and other permits. Prepare deeds and maintain cemetery records of sales and burials. coordinates with the Assistant Parks Superintendent Cemetery, and Finance Department on the updating and proper recording of all cemetery transactions and records; maintains and updates the City website Receives and responds to Open Records Requests within the statutorily required time frame, consulting with the City Clerk and City Attorney regarding any questions about the appropriateness of releasing requested information; compiles requested information and ensures timely response to these requests. Maintain the file and records of the City s vehicle titles. Prepare and publish legal notices as requested. Page 2 of 3 Assist with record retention and destruction policy. Assist with maintaining the official record of all Council appointed boards, and commissions, including facilitating the advertising of open positions. Assist with maintaining the central files of City records. Assist with City elections, including but not limited to preparing an election calendar and candidate packets, preparing and disseminating general ballot information to the public. Provides daily, project and general administrative support to the City Clerk. This work includes but is not limited to: scheduling and coordinating meetings, maintaining calendars and preparing presentations. Perform Notary Public duties. Perform the duties of the City Clerk in his/her absence. May be required to attend evening meetings as needed. Other duties as assigned.

WAGE/DAYS/HRS: 23.33-30.32 per hour Hourly Full Time Mon-Fri

QUALIFICATIONS Education and/or Experience: High school diploma or GED required. Associates degree preferred. Must be able to earn Certified Municipal Clerk designation within four years of accepting the Deputy City Clerk position. Current Notary Public or able to obtain within 60 days of hire. OTHER SKILLS and ABILITIES Outstanding attention to detail and organizational skills Ability to perform duties with a high degree of confidentiality, accuracy and speed, independent judgment, initiative, teamwork, professionalism and consideration. Knowledge of business English and spelling; ability to produce quality written documents that convey a professional appearance. Proficiency in Microsoft Word, Excel and PowerPoint. Ability to effectively manage time and work production. Ability to establish and maintain effective working relationships with all City staff, appointed and elected officials, and the general public. Prefer - knowledge of the Model Municipal Retention Schedule to assist with record retention and destruction requirements. Prefer - knowledge of the Fort Morgan Municipal Code to assist the general public. Prefer - op rational understanding of the regulations records/open meetings and release of public information. Page 3 of 3 PHYSICAL DEMANDS The employee frequently is required to stand; walk; sit; reach with hands and arms; and stoop, kneel, crouch, or crawl. The employee is occasionally required to climb or balance. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
