System One Mechanical Trades Facilities Work Order Coordinator in Hershey, Pennsylvania

Summary

Responsible for the managing and processing of maintenance and repair requests within the campus facilities. Act as the central point of communication between facility staff and vendors to ensure work orders are handled efficiently and effectively.

  • 100% onsite work (no option for remote or hybrid)

  • Work Hours: Monday - Friday, 8:00am-4:30pm (30-minute lunch break)

  • Duration: approximately 6 months, with possible extensions.

    Responsibilities

    Service Request/Work Order Duties

  • Review and convert Service Requests to WO's - Update Tags, Craft Code, Priority

  • Review and respond to BAS Alarm email

  • Enter BAS Work Orders and dispatch in accordance with procedures

  • Answer phone calls; direct calls or enter WO's and dispatch in accordance with procedures

  • Coordinate/schedule appointments (permission to enter) between HPs and Technicians

  • Review and respond to PA One call notifications;

  • Enter work orders as directed by supervisors

    Administrative Duties

  • Maintain "Alarm Disregard List" for Mechanical Trades and Central Monitoring

  • Maintain On-Call Supervisor/Manager List and share with Central Monitoring

  • Maintain Technician OT Timesheets (Post, collect and send weekly email for weekend staff to CM)

  • Review Facilities Use Forms (FUF) and add to Mechanical Trades calendars if applicable

  • Coordinate/schedule preventive maintenance for Vendors

  • Assist with Service Contracts (RFP's, Contracts and POs)

    Purchasing Duties

  • Maintain P-Card (track and collect credit card receipts)

  • Reconcile P-Card on a monthly basis.

  • Enter PO's for material orders (Graninger, Partstown, RF Fager, Yeager, etc.)

  • Maintain Uniform Inventory (Order and distribute)

    Requirements:

  • Two (2) years of experience in handling electronic work orders, purchase orders, and monitoring of phone calls and emails.

  • Proficient with MS Office 365 and electronic systems.

  • Oracle PeopleSoft systems a plus.

  • High attention to detail.

  • Ability to pass background check and drug screen.
