This position provides quality and professional customer service to youth and adults, financial and administrative support, and information for Extension Programs in Flathead County.Essential Functions (Major Duties or Responsibilities): These duties are the essential functions and are not all-inclusive of all duties that the incumbent performs.•Greet and assist youth and adult customers, providing excellent customer service; answer questions in a patient, timely and kind manner; help customers find solutions.•Provide administrative support to Extension staff; work closely and cooperatively with county agents on fiscal matters, program preparation, meeting deadlines, and other business-related compliance matters to ensure smooth office operations.•Contributes to and maintains a welcoming office atmosphere.•Exercises the utmost discretion when handling sensitive and personal information in accordance with regulations.•Answer and transfer phone calls and reply to emails in a professional manner, providing excellent customer service to all parties.•Collaborate with Montana State University, federal, state, county, private sector, and other employees to find solutions.•Assist with program coordination and event planning to ensure success.•Prepare and manage online registration for educational programs.•Maintain organized filing systems, both electronic and paper-based.•Prepare, initiate and distribute correspondence, memos, and reports in a timely manner.•Think proactively and critically to find solutions to improve the work environment, enhance efficiency, and provide quality service. •Manage online calendars and the Extension website ensuring information is up to date and accurate. •Assist with data entry and record-keeping in an organized and timely manner. •Accept payments for registration and educational supplies.•Prepare bank deposits.•Prepare annual tax documents.Non-Essential Functions:•Perform other duties as assigned including but not limited to attending staff or safety meetings, providing backup for other staff, participating in training, etc.Physical Demands and Working Conditions:·Intermittent periods of standing, sitting, and walking.·Typical range of motion and physical agility associated with the operation of office equipment.·Subject to frequent interruptions.·Works primarily during normal business hours with occasional evening and weekend commitments including being available on-call for emergencies.·Works in an office environment.·Requires occasional travel to meetings and training.Supervision Exercised: None.
