Sprint Electric, Inc. Office Manager in Lima, Ohio

Must possess a good understanding of construction business and the office environment.  Skills needed include attention to detail, good organization, ability to multitask, ability to understand the workflow and troubleshoot issues. The office manager needs to effectively maintain the records to provide accurate job & financial data to owners and accountant.

Duties and Responsibilities

Maintain an organized and efficient processing & filing system for job costing, accounts receivable, accounts payable, employee, customer & vendor records.

Process payroll weekly for employees.  Remit withholding taxes on weekly/monthly/quarterly basis as required.  Administer prevailing wage on specified jobs.  Adhere to employment/tax laws & regulations and alert owners to changes in these.

Maintain proper on-boarding paperwork for new employees including health insurance & benefits, set up & maintain employees in time entry system & payroll systems and maintain personnel files.

Daily input payable invoices and receipts into accounting software and maintain these receipts in an organized system for future reference.  Reconcile and pay invoices/bills after approved by owners.

Daily prepare & send customer billing invoices and applications for payment for progress payments on jobs, as needed.

Post payments received to appropriate jobs in accounting systems & process lien waivers.  Make bank deposits & reconcile bank statements monthly.

Set up jobs in accounting software, create paper file and obtain insurance certificates and prepare notices of commencement/furnishing as needed. 

Apply for, renew and maintain city contractor registrations and bonds as needed.

Responsible for paperwork for apprenticeships including, enrollment, tracking OJT hours, application for grants.

Answer phones, greet customers/vendors/delivery people when they come into lobby.
