Overview This position (Coordinator SR) supports USU Facilities with administrative and coordination support of the Minor-Projects, Preventative-Maintenance/Asset-management, and Operations groups. The successful candidate will assist in organizing campus-wide remodeling and maintenance projects by coordinating estimates, budgets, and approvals utilizing CMMS. This position will develop and maintain reports to track progress of projects and improve efficiency and coordination between trades.  Additionally, this position provides administrative support to the Operations Manager and Preventative Maintenance Staff, assists in analyzing and coordination of preventative maintenance, and assist in the collection and composition of information for Facility Condition Analysis and state reporting.

Responsibilities

  • Coordinate work orders and estimates with USU Trades
  • Coordinate HazMat evaluation with Facilities Safety Manager
  • Compile project proposals and coordinate approvals with campus clients
  • Verify project approvals with University Space Committee, Architectural Review Committee, etc.
  • Coordinate project set-up and budgets with Facilities Customer Service
  • Coordinate contracting and purchase-orders with consultants, sub-contractors, and vendors
  • Process project-related p-card transactions and receipts
  • Monitor project budgets and coordinate billing with Business Services
  • Compile weekly summaries and status reports as needed
  • Coordinate project close-out with USU Trades
  • Assist in asset integration and preventative maintenance scheduling
  • Assist in as-builts/floor-plan integration with Facilities Archive
  • Assist with building life cycle analysis
  • Assist with Data validation or input in CMMS
  • Performs miscellaneous job duties as required. Develops and enhances a cooperative team within the work group and Facilities departments. Supports other employees, fostering a cooperative atmosphere; contributes in team/staff meetings in a productive way. Self-motivated to take the lead in ownership of responsibilities.

Qualifications Minimum Qualifications:

  • Six years of experience; or an associate degree plus four years of experience; or a bachelors degree plus two years of experience or an equivalent combination of education plus experience is required.
  • Knowledge of computer systems and ability to establish computer programs for data tracking
  • Efficient in the use of reporting and data processing software such as (excel, power BI, etc.)
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills Preferred Qualifications:

  • Knowledge of preventative maintenance and workplace scheduling techniques

  • Basic accounting knowledge and experience
