The USC Chan Division of Occupational Science and Occupational Therapy is seeking a dedicated and detail-orientedStudent Services Assistant. The successful candidate will assist in the delivery and coordination of student services and activities, providing essential administrative functions in support of our academic programs. This role involves direct interaction with students, faculty, and staff to ensure a supportive and effective academic environment.

Key Responsibilities:

  • Assist in general academic advisement, responding to queries from faculty, students, staff, and external sources about policies and procedures related to registration, course scheduling, degree requirements, transcripts, academic status, and more.

  • Review incoming documents, make preliminary assessments of student issues, and refer complex cases to senior staff.

  • Organize, schedule, and coordinate activities such as student receptions, orientations, recruitment events, and special events, including logistics and promotional material preparation.

  • Review and maintain student records, input data, and generate relevant documentation using the student database.

  • Provide administrative support including scheduling classes, coordinating room assignments, monitoring class enrollment, and processing student petitions.

  • Act as staff support to academic committees, take notes, record minutes, and function as a liaison between the academic unit and university offices.

  • Assist in gathering data for reporting purposes and preparing necessary reports.

  • Participate in the development and implementation of various department programs and services, including outreach and fundraising initiatives.

Qualifications:

  • Education:Related undergraduate study required; Bachelor's degree preferred. A combination of education and relevant experience may substitute for the minimum education requirements.

  • Experience:At least 1 year of relevant work experience required; 3 years preferred. A combination of education and relevant experience may substitute for the minimum work experience requirements.

  • Skills:Proficiency in administrative and academic support services, excellent organizational and communication skills, ability to handle multiple tasks and work effectively under pressure.

The hourly rate range for this position is $23.23 - $30.30.
