University of Louisville Department Coordinator III (Assignments and Billing Coordinator) in Louisville, Kentucky

Minimum Requirements:High School Diploma/GED with 4 years of related experience or an equivalent combination of education and experience. Grade 3 (Hourly)Position Description:University Housing and Residence Experience is seeking a Department Coordinator III. The primary function of this position is to deliver excellent customer service in the assignment of current and future residential students. Following departmental and university guidelines, the position will assign students to rooms, troubleshoot issues, and provide on-going communications to student residents. Position will provide regular and ad hoc reports to department staff and meet regularly with other offices/departments to discuss issues. Essential Duties and ResponsibilitiesCoordinate the assignment of students into the residence halls based on last names starting with A-MProvide customer support to students and parents going through the housing application and room selection process.Manually assign any students who do not select their room based on last name.Complete and/or assist with the Resident Experience team in the completion of emergency room changes.Audit assignments to ensure students are properly placed and ensure diversification in our halls.Process any assignment-based requests (cancellation, room changes, application fee reductions)Attend assignments related meetings.Create templates for communications that go out to students. Maintain and distribute assignment-based information.Maintain students' electronic files accurately.Run statistics reports regularly to assess current space availability, new applicant numbers, gender counts, etc.Keep accurate and historical occupancy statistics to help analyze trends and year to date comparisons.Ability to understand billing and assignments data to interpret and explain relevant issues to the end user of the data.Consult on assignments related events such as relevant dates and changes to processes.Hire, supervise, and train student office assistant.Prepare and create reports on an ad hoc basis, complete billing audits.Coordinate outreach and collaborate with university departments impacted by assignments.Attend student recruitment events at the university and regionally. This includes, but is not limited to Orientation, Admitted Student Day, Cardinal OUTlook day, etc.Build close relationships with Admissions, Financial Aid, Disabilities Resource Center, and other offices on campus.Assist with all ADA accommodations, ESA accommodations, etc.Coordinate special circumstance housing (early arrivals, extensions, etc.)Contribute professionally to the administrative team, housing, living learning communities, and Student AffairsWork closely with Operations Team to audit and troubleshoot student accounts related to housing.Attend professional development opportunities to increase knowledge regarding RMS, assignments, etc.Train staff on assignments procedures. This includes semester training for the Resident Experience staff.
