Amazon Executive Assistant, Amazon Books in Madrid, Spain

Description

We are looking for an Executive Assistant who wants to work in a fast-paced and dynamic environment within the Amazon Books organization. We are seeking a resourceful, self-motivated, highly organized, and efficient Executive Assistant to support one director and their team. This position will also serve as a Program Manager in the Director's organization driving key people and site planning initiatives across the team.

To be successful in this role, the candidate will possess strong attention to detail, the ability to meet tight deadlines, and remain poised under pressure. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is a must. The successful candidate will possess the ability to complete complex tasks and projects with minimal guidance; react with appropriate urgency to situations that require a quick turnaround, and oversee multiple calendars that require daily attention.

Key job responsibilities

• Calendar management: Coordinating global schedules and making necessary arrangements for meetings and conference calls

• Project/program management: Support annual operational planning process, business planning, performance review cycles

• Organizing, prioritizing and appropriately handling time-sensitive, confidential information and ensuring action/attention required is addressed

• Creating and implementing processes and mechanisms for running the business

• Large event coordination (including organization all-hands, off-sites, and morale events)

• Scheduling and coordinating travel arrangements, both domestic and international

• Serve as a business partner ensuring strategic, proactive and thoughtful support of the business cycle

• Office space planning partnering with GREF and IT

• Provide additional support to the extended management team as needed.

Madrid, M, ESP

Basic Qualifications

  • Experience in an executive administrative capacity for a medium to large size company.

  • Experience in program management

  • Expert user in Microsoft Outlook, Word, Excel and PowerPoint.

  • Experience in handling confidential information with discretion, and deal with professionals inside and outside the company.

  • Experience participating in cross-functional projects with various stakeholders.

  • Spanish and English language skills

Preferred Qualifications

  • Experience with document writing and editing skills

  • Experience leading process improvements

  • Experience designing processes to maximize efficiency
