Summary of Position: Responsible for coordinating and executing the promotion of student programs initiatives, activities, and events to increase the visibility of student programs and Union Program Council (UPC) in order to enhance student involvement and success.

Status: Union Support Staff, full-time, non-exempt

Supervisory Responsibility: Students only

Work Schedule: Monday through Friday, 8 am to 5 pm with some nights and weekends

Pay range: \$42,216-\$46,437.60/year

Key Functions:

Program coordination-specific

45%: Develop, coordinate, execute, and evaluate programs in coordination with student-volunteer committees. Attend student-volunteer committee meetings. Advise, guide, and mentor student-volunteers to encourage student involvement and develop future leaders. Oversee program execution logistics (to include set-ups and tear-downs). Anticipate, plan, and troubleshoot program safety and security scenarios. Ensure effective communication and coordination with community stakeholders and vendors to encourage successful outcomes. Manage schedule to balance long and non-traditional working hours.

30%: Understand, review, and negotiate contract terms with agents, performers, entertainers, venues, and the like. Submit contracts to university counsel for legal review prior to execution. Seek final contract review and approval from supervisor. Execute contract while ensuring agreed upon provisions are met.

10%: Assist with committee budget development. Monitor and ensure spending is within financial parameters. Submit timely payment requests and receipts of expenditures. Serve on both internal and external committees. Perform other duties as assigned and instructed.

Departmental functions

15%: Hire, train, manage and evaluate assigned student assistant position(s). Manage employee work schedules based on departmental need and in alignment with budget. Anticipate changing priorities and special projects; schedule/adjust employee workloads as necessary.

Qualification Requirements:

Education Minimum

  • Bachelors degree from an accredited institution and six or more months of demonstrated experience; or
  • Masters degree from an accredited institution.

Education Preferred

  • Masters degree from an accredited institution.

Experience Minimum Demonstrated

  • Advising or working with students from a variety of social and economic backgrounds;
  • Ability to develop future community leaders;
  • Budgeting and accounting understanding;
  • Planning and executing events;
  • Ability to work evenings and weekends.

Experience Preferred Demonstrated

  • Work or volunteer experience in a college environment.
  • Demonstrated experience in budgeting, public relations, marketing, and/or event planning, particularly in student activities.
  • Supervisory experience.

Skills and Abilities

Work in a general office environment and event venues, to include outdoor settings. Remain seated/stand 40% of shift. Finger dexterity/movement for typing, picking up small objects and utilizing varying equipment. Hearing for average or normal conversations and to receive information. Sight to view computer, documents, and general office machinery. Verbal and written communication to present, convey and exchange information and ideas accurately and quickly. Move, t ansport and position equipment weighing up to 20 pounds. There are no hazardous or significantly unpleasant physical conditions. Valid drivers license.
