Wesleyan University Administrative Assistant III, College of the Environment in Middletown, Connecticut

Under the direction of the director of the College of the Environment, the Administrative Assistant III provides administrative support to the faculty, staff and students. This position also supports the needs the Sustainability Office.

Responsibilities:

  • Assist with the preparation of reports and proposals; write correspondence and memorandums; create flyers, brochures, newsletters, etc.

  • Perform a variety of administrative and secretarial services: maintain databases and generate reports and mailing lists, maintain calendars and organize meetings, manage office correspondence and procedures, and greet and work with students, faculty, visitors and other constituencies.

  • Develop familiarity with relevant curricula; respond to student questions about the major/minor.

  • Initiate and coordinate compiling course offerings using the Curriculum Development System; liaison with departmental staff to manage crosslistings.

  • Assist faculty with classroom requests for ENVS courses.

  • Edit material for the course catalog and university publications.

  • Coordinate the logistics for all department and program events (e.g., speakers and lecture series) to include scheduling, publicity, room reservations, travel (including international travel), and catering arrangements.

  • Maintain an archive of annual program events.

  • Assign advisors to student majors, update and maintain confidential student records.

  • Coordinate faculty travel, accommodation and meetings as requested.

  • Manage student internship program including applications, communication with students and faculty mentors, collaborate with Accounting Specialist to oversee summer payments

  • Hire and manage students through WorkDay, Handshake and Workforce Time for students, including the student hires by the Sustainability Office

  • Update and maintain website as needed.

  • Serve as Building Steward; submit work orders as needed.

  • Order office supplies.

  • Perform other duties as assigned.

This is an on-campus position.

This position is a 0.75FTE in the Secretarial/Clerical Bargaining Unit that works 1365 annual hours, and funding has been approved through June 30, 2027.

MINIMUM QUALIFICATIONS:

Associates Degree and two years related experience or an equivalent of education training and experience. Demonstrated attention to detail. Demonstrated proficiency in Word, Excel and Outlook.

Proven ability to manage multiple tasks. Excellent communications skills. Discretion, tact, and high regard for confidentiality.

PREFERRED QUALIFICATIONS:

Experience in an academic environment.

Previous Workday and Workforce experience.

Previous budget experience.Experience with website management.

Compensation: $25.76 - $30.59/hr.
