This position is responsible for the leadership and supervision of staff in the School's Academic Advising program and administrative support. The Manager provides expertise and guidance on departmental policies and procedures, makes interpretations of complex challenges and opportunities, and, working across the Twin Cities and Duluth Medical School campuses, proactively develops and implements strategic solutions to support student engagement and success. Job Responsibilities Leadership & Supervision (30%) Position self and others to successfully maximize their potential and achieve targeted results while exhibiting the highest ethical and professional standards of performance. Sustain a supportive and inclusive climate, engaging others through role modeling, meaningful work, accountability, and targeted professional development. Supervise and direct the effort of Professional & Administrative (P&A) staff members across the academic advising unit (four advisors) and with the administrative support team (including the student affairs administrative coordinator and student interns). Work with the broader student affairs staff to coordinate, implement and evaluate the student advising, tracking, and records management. Deliver high quality student support by facilitating the effective creation and implementation of sound work plans Assign and oversee staff work to ensure outcomes meet quality standards. Provide feedback, appraise performance, and proactively resolve conflict Organize new staff onboarding, providing a comprehensive overview of roles and responsibilities Operations and Program Management (20%) Establish, execute, and allocate resources necessary to support strategic and programmatic goals and priorities, and overall direction of student affairs. Lead efforts to maintain ongoing alignment of services and programs with the dynamic needs of students of a diverse student body and the mission of the school. Create, plan, and manage student programming and related assets designed to improve student support and the student experience Work in partnership with all medical education departments to ensure a seamless and coordinated delivery of quality student support services Organize annual Student Affairs led co-curricular course and event development and delivery process Utilize measurement tools and gather feedback from students, staff, and faculty to implement best practices, look for inefficiencies, identify potential gaps in student support, and consider areas for quality improvement Participate in all accreditation and regulatory processes and reporting In conjunction with the Assistant Dean for Student Affairs in TC, and Assistant Dean for Student Life and Academic Affairs in DU, ensure the office is compliant with all LCME accreditation elements related to the unit and its services, leading improvement efforts to address accreditation related findings and areas in need of development and/or improvement Work with Student Affairs leadership and staff on new budget fund requests Manages functionality and user interface of the student record system (MedIS) for advising/coach users and works with the health sciences IT department to implement modifications Student Support (20%) Ensure seamless access to support services for students in the TC and DU campuses from a variety of backgrounds, communities, and identities by assessing student needs and implementing resources and programs Assist in referral of students, as needed, to appropriate resources for counseling or su port Work to improve visibility and awareness of support available through the Office of Student Affairs Assist in ensuring that student complaints and issues are adequately addressed Along with the administrative support team, oversee the student organization purchase and reimbursement process, working with the Student Council Treasure, DU campus staff, and the Medical School Dept. of Finance to ensure a clear process leading to completion of all submitted requests Foster strong relationships and collaborate with student leaders and representatives from the TC and DU to ensure student support is delivered and works effectively Oversee and manage the Class of 1966 Funds program, coordinating selection of projects across the TC and DU campuses, disbursement of funds, and project support Work with student leaders and faculty representatives to coordinate the nomination and induction of students into various awards including the Alpha Omega Alpha (AOA), and the Gold Humanism in Medicine (GHHS) national honor societies. Distribute various high level and important internal and national surveys to appropriate students including national AAMC Graduation and Year 2 Questionnaires, and internal Advising and Pulse surveys Clinical Housing Program, administering and distributing clinical housing funds, and maintaining a robust catalog of resources and alumni volunteers with whom students can seek short term housing Administer the student travel funds process, managing program requirements, and tracking funds to ensure budgetary balance Ensure proper student access to required buildings and spaces Direct the student absence protocol by developing departmental policies and procedures, reviewing and processing requests within adherence to governing policy, and ensuring all appropriate stakeholders are informed Provide mechanism for students to submit duty hour violations so that course directors can ensure that the issues are addressed Student Academic Progression (10%) Build, promote, and leverage resources, policies, programs, and interventions to enable successful academic and career progression for all students. Collaborate across departments and campuses to help students address issues necessary to optimize their educational experience and growth. Collaborates with the Medical School Registrar to ensure accurate and complete student records are maintained Partner with IT and various stakeholders to maintain existing products and reporting designed to support students and administrative functions in TC and DU Oversee the Flexible MD program, managing the student application and tracking process.
