Job Summary

The Human Resources (HR) Team Coordinator is responsible for providing analytical support, logistics coordination and project execution, for the HR Leadership team (HRLT). The role collaborates with the team and interacts across functions at CN, including Operations, Sales and Marketing, Corporate Services, Finance, Strategy, Sustainability, and Investor Relations. The position provides direct support including but not limited to developing reports, completing data analysis, supporting logistics and communication within the HR team.

Main Responsibilities

Human Resources Leadership Team Support

· Develop reports and perform specific analyses under the direction of the Senior Vice-President (SVP)

· Maintain key tracking information for projects

· Help identify interdependencies and key stakeholders related to project work and ensure tracking of project completion

· Collaborate with all functions, especially Communications, Legal and Finance to ensure timely internal and external communications

Operations and Logistics

· Provides direct support for HRLT in calendar management, scheduling, meeting planning, expenses and approval, correspondence and supports general function needs

· Run annual calendar and planning to support achievement of the HR teams goals

· Ensure timely information distribution and high-quality documentation

· Support information management for the strategy team, including ensuring storage and accessibility of key documentation

· Collaborate with communications to oversee SVP’s LinkedIn

Board and Committees

· Handle the Board meetings preparation and material; responsible for the full process and the coordination with all parties involved, including building the project schedule and initiating all steps to ensure deadlines are met and material is prepared, reviewed and uploaded to the board portal (Diligent) for the committee members on time

· Receive and organize highly confidential board material from clients, internal and external, presented to the Board and Committees at meetings while maintaining strict timelines. Review the format and clarity of the message

· Prepare draft agenda and meeting minutes

· Manage invitation list for HRCC (HR Compensation Committee) including partial participants whether internal or external

Working Conditions

The role has standard working conditions in an office environment with a regular workweek from Monday to Friday and is eligible to participate in CN’s flexible work from home policy. Due to the nature of the role, the incumbent must be able to meet tight deadlines, handle pressure, and stress.

Experience

Project Management, Coordination and Communications

· Between 3 to 4 years of experience in project management, coordination and communication

Education/Certification/Designation

· Bachelor’s Degree

Technical Skills/Knowledge

· Advanced knowledge of Microsoft Office (Excel, PowerPoint, Word, Outlook, Teams and associated applications)

· Knowledge of Tableau or similar analytical visualization tool

· Knowledge of Human Capital Management (HCM) tools such as Workday or Success Factors

· Deep knowledge of CN environment and structure*

· Fluently bilingual both written and verbal (English, French)*
