About the Role:

As a CBRE Events Sr. Coordinator, you will assist with planning, coordination, and day-of execution of medium to large meetings, conferences, and events.

This job is part of the Events job function. They are responsible for the creation, management, and execution of marketing events for internal and external clients.

What You’ll Do:

  • Point of contact for event tasks, set up, refresh, and removal of food, beverage, and service items.

  • Safely move and store tables, chairs, and all other set-up equipment needed for a successful event.

  • Prepare, run and attend daily stand-up meeting to get direction on daily tasks and time allotted.

  • Confirm once event set up is complete; this includes a review of space configurations.

  • Troubleshoot and resolve set up scheduling or logistical issues.

  • Organize and track/inventory event supplies as needed and alert Team when new orders are required.

  • Impact own team and other teams whose work activities are closely related.

  • Suggest improvements to existing processes and solutions to improve the efficiency of the team.

  • Point of contact for meetings and events. Provide support for meetings and events as needed. Create a hospitable environment for attendees, event owners, and vendors on the day of the event.

  • Work with clients, vendors, and team members to coordinate guest services. This includes arrival experience, transportation, signage, displays, special needs requirements, and printing.

  • Perform conference room turnover and midday room refresh. Reconfigure rooms for spaces.

  • Complete room checks and ensure technical and visual spaces are functional. Troubleshoot audio and technical issues.

  • Review and maintain event storage and inventory. This includes tables, chairs, and AV equipment.

  • Respond to event activities such as gathering event supplies, equipment needs, food & beverage services, facility security, etc.

  • Audit numerous processes, including, but not limited to, chemicals, labeling, and inventories.

  • Assist the Facilities Manager with specific tasks throughout the building. Tasks can include safety checks, preventative maintenance, and other items as needed.

  • Develop skills to perform basic preventative and reactive maintenance including a variety of basic custodial, building, and other maintenance duties.

  • Complete paperwork for property damage, equipment malfunctions, and unusual activities.

  • Assist with monitoring the supply, equipment usage, and record inventory needs.

  • Establish and communicate the level of quality and safety expected in the performance of maintenance tasks.

  • Perform ongoing preventive maintenance and repairs on mechanical, electrical, and other building systems.

  • Conduct routine maintenance inspections, diagnose potential problems, and make repairs.

  • Review assigned work orders and partner with available systems to track completion.

What You’ll Need:

Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future

  • High School Diploma or GED with 2-3 years of job-related experience.

  • Fulfill the physical requirements associated with this role. This includes stooping, standing, walking, and climbing stairs. Must be able to lift/carry heavy loads of 50 lbs. or more.

  • An established understanding of work routines and standards and applying skills and knowledge in a range of processes, procedures, and systems are required.

  • Requires intermediate problem-solving skills with the capacity to review and select solutions from available options without supervisory approval.

  • Ability to explain detailed and complicated information within the team in a clear and concise manner.

  • Advanced knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.

  • Strong organizational skills with a robust inquisitive mindset.
