Description
Comunilife Inc. is looking to fill a Facilities Office Services Coordinator position for itsAdministrative officesin the our Central Office Midtown location. The Facility Office Services Coordinator assists in the management in the facilities functions for the agency. This positions will track and manage work orders and responsive facility and building operations. The Facility Office Service Coordinator will assist with tracking and resolving building violations, including the management of hearings, inspections, deliveries and other related facility operational supports.. Essential Duties:
Manage, track and distribute work order requests through work order software
Communicate with new or existing contracted vendors to coordinate service visit (emergency or contractual maintenance visit), receipt of proposals for work and subsequent invoices
Maintain a chronological record of worked performed by vendors, (Emergency or Contractual Maintenance)
Submit new and existing vendor, contracts, proposals and invoices for review and approval
Assist with scheduling the vendor to perform approved proposed work at specific properties
Assist Program Teams and Property Managers with maintaining and ordering the necessary facility supplies
Create purchase requisitions for facility supplies (when necessary) in collaboration with Property Managers, Programs Teams and Procurement Department
Maintain files and tracking system for approved contracts, proposals, invoices, purchase orders, building violations and other time sensitive documents
Navigate and review Department of Building (DOB), Housing Preservation & Development (HPD), Housing and Urban Development (HUD), and other New York City and State sites for information related to properties
Track property violations detail, certification status, hearing information, dates and status, penalties information, others
Perform any other duties as assigned including provide front desk reception coverage when necessary.

Education and Experience Requirement(s):
Associates Degree with two years of facilities or operational experience
Or Four years of related facilities or operational experience
Experience with building management/supportive housing preferred.
