Posting Summary
Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking an Assistant Manager Event Services. Under the supervision of the Events & Programs Mgr Spr of the Office of Reservations and Special Events (ORSE), this position is responsible for the day-to-day event operations and reservation management of the Paul Robeson Campus Center, Ruth Bader Ginsberg Hall, Express Newark, and all ORSE satellite operations.
This position is responsible for and not limited to the following:
  • Provides leadership, direction, and expertise regarding reservation policies and procedures to the internal and external constituencies on the Newark campus and the Newark community
  • Oversees undergraduate student staff
  • Meets with internal and external clients, conducts walkthroughs, creates reservation packets, and works with event staff to oversee event setups
  • Provides support to the other ORSE Assistant Managers as needed and as directed by the Director of the Office of Reservations and Special Events

Work Arrangement
Consistent with the current application of Rutgers Policy 60.3.22, this position requires a fully on-site work arrangement and may be eligible for a compressed workweek or a flex workday schedule. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications

Minimum Education and Experience
  • Requires a bachelor's degree in a related field, or an equivalent combination of education.
  • Requires a minimum of two years' relevant work experience that demonstrates knowledge and understanding of program coordination, organization, facilitation, report analysis, writing, and promotion/outreach.

  • Excellent administrative, organizational, and communication skills (verbal, written, and interpersonal)
  • Must be accessible by phone to provide on-site support to clients and ORSE staff.
  • Ability to complete multiple and concurrent tasks
  • Commitment to excellence in client service and a professional demeanor
  • In addition to the complex nature of facilities and event management, this position will work closely with student organizations to plan and implement events
  • Experience in a university setting, decision making, and problem solving will make it easier for the person to interpret policies and provide a limit setting to appropriate behaviors in a college setting
  • Must have advanced knowledge and experience with technical systems, including lighting, sound, and projection, in order to meet the increasingly complex needs of events and facilities
  • Must be able to train others in the operation of these systems
Preferred Qualifications
  • Master's degree in College Student Personnel, Higher Education Administration, or equivalent combination of education and/or professional experience working in Student Affairs, live events or theater preferred
  • Experience working closely with students from diverse backgrounds in a higher education setting
  • Experience working collaboratively with students, faculty and staff in a wide variety of university committees, departments and /or student organizations to develop and implement programmatic initiatives
  • Licensed driver
  • Highly computer literate
Equipment Utilized
  • Experience working with technical equipment for events, including lighting, sound, and projection equipment
  • Microsoft Office Suite, EMS (Event Management Systems), Social Tables, 7 Point Ops
Physical Demands and Work Environment
  • Must be able to handle light to moderate physical activity, ability to lift at least 25 lbs., and the ability to provide physical management of facilities and equipment
  • Must be able to work irregular and flexible hours, including but not limited to evenings, weekends, and some holidays as programming demands
