Los Alamos National Laboratory Professional Staff Assistant 3 in North Las Vegas, Nevada

What You Will Do

We are looking for a professional staff assistant to share in leadership of operational and administrative areas for the Joint Laboratory Office Nevada (JLON). The selected individual will provide support to the JLON program directors and other laboratory workers associated with Los Alamos National Laboratory (LANL) and Lawrence Livermore National Laboratory (LLNL). The selected individual will:

  • Serve as a point of contact for the office and communicate professionally with internal and external management, administrators, and staff at all levels.

  • Review and prioritize incoming correspondence, and research and respond to JLON specific inquiries and requests for specialized information.

  • Manage complex calendars and coordinate meetings, conferences, and travel (domestic and foreign).

  • Assist in the analysis, design and implementation of business and operational initiatives to ensure organizational objectives.

  • Serve as a resource to the JLON office staff on administrative policies and systems.

  • Nurture a team environment with other JLON administrative staff and maintain excellent relations with administrators in other offices.

You will be expected to perform these job responsibilities without considerable direction, within a framework of standard policies and procedures, and prioritize work to meet established deadlines. You must demonstrate flexibility and adaptability in a high-pressure office.

This position will support two duty stations, one at the Nevada Support Facility in North Las Vegas, NV, and one office at the Nevada National Security Site (NNSS), located in Mercury, Nevada, approximately 60 miles north of Las Vegas, NV. Selected candidate will rotate between work locations as needed to support JLON.

What You Need

Minimum Job Requirements:

Management Support

Demonstrated advance experience directly supporting varying levels of management and leadership from program leaders to laboratory directors of internal and external agencies. Proven record of effectively building and maintaining effective working relationships with all levels of staff (internal and external) to include customers and stakeholders.

Business Systems

Expert-level knowledge and experience with Microsoft Office, including the demonstrated ability to independently interpret specific LANL and LLNL data and information to produce advanced joint laboratory Word documents, Excel spreadsheets, and PowerPoint presentations.

Personal Leadership

Demonstrated ability to calmly manage frequent interruptions and changing priorities. Complete assignments without established procedures; be available, dependable, and punctual; and effectively interact with all levels of internal and external personnel. Demonstrated mentoring and teaming skills.

Problem Solving

Demonstrated resourcefulness when analyzing and evaluating complex problems to arrive at successful solutions; the ability to timely learn and navigate the JLON specific complexities. When systems or people are not cooperative, finding workarounds to accomplish the goal at hand. Demonstrated ability to effectively manage conflicting/tight deadlines while maintaining flexibility and adaptability in the daily operation of a high-pressure office.

Office Administration

Demonstrated commitment to quality and excellence as evidenced by exemplary work products, including excellent oral and written communication skills, demonstrated strong interpersonal skills, and a record of dealing effectively with conflict. Demonstrated ability to be proactive, take initiative and ownership when performing job responsibilities.

Education/Experience:

Position requires a bachelor's degree and a minimum of 8 years of related experience, or an equivalent combination of education and experience. At this level, post graduate course work may be expected.

Desired Qualifications:

  • Knowledge of and experience with Laboratory purchasing systems, i.e., Oracle e-Business suite, Oracle i-Expense, and iProcurement.

  • Active DOE Q clearance.

  • Knowledge and understanding of the Laboratory's organizational structure and policies, practices, and procedures and how they interface with NNSS.

  • Advanced knowledge and proven experience in conducting research, investigating alternatives, and recommending solutions on issues affecting business, operational, and/or programmatic oversight.

Work Environment:

Work Location: This position has a permanent duty station at the North Las Vegas Facility in Las Vegas, NV. A secondary office is at the Nevada National Security Site (NNSS), located in Mercury, Nevada, approximately 60 miles north of Las Vegas NV. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 (https://directives.nnsa.doe.gov/supplemental-directive/sd-0206-0002) . Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
