General Summary: 

The Project Support Administrator will provide primary support for QC/QA Team first, then Project Managers and Safety Team, assisting with all clerical and administrative functions of assigned jobs. This position will report to the Division Manager.

Preferred Job Skills:

  • Exhibit good verbal and written communication skills.
  • Able to demonstrate advanced computer and keyboard skills to include use of MS Office Suite, Smartsheets, Bluebeam and Spectrum.
  • Acute attention to detail.
  • Ability to maintain required levels of confidentiality when entrusted with sensitive business, customer, or employee related information.
  • Ability to manage multiple responsibilities in a fast-paced environment.
  • Able to maintain high levels of productivity, meeting deadlines while maintaining accuracy.
  • Effective and professional communicator, both written and verbal.
  • Able to maintain a pleasant customer service attitude while under pressure.
  • High level of professional business acumen.

Mandatory Hiring Requirements:

References, Background Check, Drug Screen Testing, Valid Driver's License.

Responsibilities:

  • Greet visitors and manage incoming calls.
  • Maintain all office equipment in a ready for use condition (Copiers, printers, etc).
  • Order, organize and maintain an inventory of all office supplies.
  • Input payroll data from time sheets into the payroll system.
  • Process purchase orders.
  • Process Accounting close out requirements (Credit Card receipt processing, Invoice Approval process).
  • Process weekly invoicing.
  • Ensure office common areas are organized and ready for use (Conference room, kitchen, copy room, etc.).
  • Assist division personnel with proposals, spreadsheets, filing or any other administrative functions.
  • Provide administrative support for QC/QA Team, Project Managers, Safety Managers, Human Resources, Policies and Procedures and other field leadership staff to include reports, spreadsheets, labels, schedules, communications, training records, filing, etc.
  • Process incoming and outgoing mail and packages.
  • Become sufficiently familiar with other office support to allow for reliable support across various teams and groups.
  • If needed, assist with service call work orders and time materials work orders.
  • Additional responsibilities may be assigned as needed by the Division Manager or Project Manager.
