The Department of Pediatrics has an outstanding opportunity for a full-time Facilities Operations Manager. This position is a critical member of the central administration leadership team and the primary responsibilities include managing all aspects of office/lab space assigned to the department, relocations, and facilities improvement projects, including determining project scope and timelines, contracting with internal and external vendors, and overseeing approved project budgets. This position will also serve as a primary liaison to lab managers to support overall lab facilities functioning.

As the second largest department in the UW School of Medicine, the Department of Pediatrics is dedicated to improving the health of all children and adolescents by educating physician leaders of the future, advancing research, advocating for children, and providing the nation's best pediatric clinical care. In addition to faculty members located at the Seattle Children’s Hospital and Seattle Children's Research Institute, the Department has the 3rd largest extramurally funded research enterprise in the School of Medicine that is housed in UW owned/operated space. The Department of Pediatrics occupies about 37,000 square feet in the Health Sciences Building (in the RR and I wing) and is identified as occupying 131 rooms in the Space Inventory Management Systems (SIMS).

UW Pediatrics Vision: We strive to be a vibrant Department of Pediatrics where our unified, collaborative efforts produce needed outcomes. DUTIES AND RESPONSIBILITIES Safety and Security Management of Facilities/ Personnel

• Ensure compliance with all safety, security, and Environmental Health & Safety (EH&S) regulations which govern the operation of research labs and offices. Identify and disseminate the related policies and protocols that staff and faculty working in research labs and offices need to be aware of. • Identify laboratory and workplace hazards to ensure associated required safety classes are completed by applicable personnel. Including but not limited to Biosafety Level 2+ (BSL-2) issues, radiation training, and hazardous chemical training. Also, ensure that all space configuration is compliant with regulatory agencies. • Develop and implement the Department’s evacuation and emergency plans, including evacuation rosters for various floors. Serves as evacuation steward for the RR wing. • Manage the RR-wing security needs for the Department including access and ID card issues. • Manage all the assets within the Department of Pediatrics via the equipment inventory process. In cooperation with lab staff, perform annual equipment inventories, provide annual insurance estimates to equipment owners, organize large-scale surplusage, and maintain an overall proactive approach to resource allocation and conservation. Also serve as a resource for service contracts.

Support of Lab Spaces and Managers

• Act as main point person to lab managers regarding any facilities and equipment related concerns or projects. This includes regular work order submissions and follow-ups, assist with receipt of new equipment, equipment re-distribution/relocation, coordinate with UW and external contractors for lab space modifications, and provide support for lab start-ups and close-outs. • Facilitate monthly meetings with lab managers to educate and communicate with lab staff regarding safety, security, and facilities related requests. • Support lab managers and Principal Investigators (PI’s) through annual lab inspection processes. • Supervision of glass washing student workers, who are responsible for shuttling glassware to the autoclave facility. • Manage the laundry service to ensure clean lab coats for faculty and staff.

Project Management

• Manage all projects involving alterations to space, construction, and renovations. This includes planning timelines, potential impacts, cost estimates, managing established project budgets (annually approximately $75,000 in direct costs), coordination with service providers. • Facilitate discussion regarding space allocations with the Department’s space committee and develop efficient and effective plans to maximize space to ensure it is meeting the needs of Department Principal Investigators. • Manage annual facilities budget, to include budget proposals, ongoing purchases via ProCard issued to this position, evaluating proposals, and recommending the way forward. • Manage all facilities and IT related purchasing of equipment and supplies to include liaising with vendors, evaluating costs, and deciding on optimal purchases. • Primary point of contact in the department for UW Facilities Services tradespeople and external service providers. • Distribute mail to the appropriate staff members within each unit. • Assist with general office operations including phones, parking, and common equipment. • Partner with the Department’s Human Resources team for any staff engagement activities that require space reservations, permits etc.

MINIMUM REQUIREMENTS

Bachelor's degree in business administration or related field and three years of related work experience OR Equivalent combination of education/experience.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. DESIRED QUALIFICATIONS

• Experience within administration including facilities management and planning and building maintenance oversight. • Experience managing compliance reporting, safety training, complex moves and renovations, and managing hazardous chemicals.
