Overview and Essential Functions
This is a great opportunity to join Texstar as an Intake Coordinator. This position will be responsible for documenting and tracking all work orders on behalf of the company. This role will also encompass the detailed communication and scheduling of activities related to the acquisition of all new work. It will work closely with field operations and billing to ensure timely deliverables of project milestones and invoice submittals as required for all contract agreements and plans.

Role Overview:
The Intake Coordinator will be responsible for documenting and tracking all work orders on behalf of the company. This role will also encompass the detailed communication and scheduling of activities related to the acquisition of all new work. It will work closely with field operations and billing to ensure timely deliverables of project milestones and invoice submittals as required for all contract agreements and plans.
Responsibilities:
Monitor and track all incoming work orders and work status using various platforms
Thorough and accurate record keeping of all job documentation, across multiple formats
Create and Maintain all project folders in all areas
Maintain confidentiality of all financial and contractual documents
Maintain share settings of all documentation
Maintain project document according to standardization and controls procedures
Collaborates with Business Development team to review and understand project scope, project goals, and timelines including but not limited rates,assignment plans, and document collection
Verifies subcontractor status as necessary with Contracts department
Prioritizes intake activities accordingly, actively recording all incoming projects and permit statuses
Assist Project Managers on monitoring the progress of the project and make necessary adjustments to ensure the successful completion of the project
Relaying any schedule or scope requirements necessary to be implemented as needed by PMO or construction team
Ensuring timely status updates of closed jobs in partnership with accounting
Understands project specific requirements and translates those requirements to be implemented as needed by PMO or construction team
All other duties as assigned
Qualifications:
Associate's degree in business or a related field with minimum two (2) years of Telecom industry experience; or minimum four (4) years of Telecom industry experience
Excellent verbal and written communication skills
Experience with Google tools such as: gmail, docs, sheets
Ability to interact with clients, vendors, other departments and senior management
Ability to handle multiple projects & tight deadlines in a fast paced environment
Strong analytical, problem solving and be detail-oriented
Ability to think quickly on your feet and make rapid decisions
Ability to comprehend contract documentation and construction blueprints
Experience with project scheduling and finance preferred
Strong customer service background preferred
Telecommunications construction knowledge (preferred)
