Overview of role

  • The Technical Administrator role is an entry level role for individuals who are inspired by hands-on technical work.

  • This work is a vital part of the R&D team. In this role, the Technical Administrator will onboard to P&G systems and perform the basic and critical technical laboratory work for day-to-day operations.

Your team

Located at the P&G Singapore Innovation Center at Biopolis, you will be part of the Quality Assurance (QA) R&D organization here in Singapore. You will have the opportunity to work with the different partners within your team, other functions and external partners.

How success looks like

Success in this role is based on effective provision of technical administrative support to the team members in a timely manner. With enough time and training, it is expected that the Technical Administrator would require minimum supervision to perform his/her work.

Key Responsibilities

  • Quality Management System: Utilize corporate systems to create and track records from P&G’s electronic Quality Management System;

  • Quality Metrics: Handle the site quality-related trackers, including communicating results and reminders to site;

  • Documentation: Assist in creation, routing and maintaining of technical standard documents, protocols, and other QA documents;

  • Digitization: Assist organization in deployment of digitization tools including creation of job aids and instructions;

  • Administrative support: Support organization leaders’ calendar management, meeting arrangements and room bookings, training support and other ad hoc requests;

  • Handling purchase requests using Coupa system: Assist team in generating Purchase Orders (POs) working closely with P2P team, log the Goods Receipt into the Coupa system after verifying that goods or services have been delivered. Follow up with Invoice Receipt process too if there is any late submission of invoice by vendor or the amount submitted doesn’t tally with GR amount.

  • Events/Logistics management: Assist in arranging logistics, venue setup as well as sending communications/agenda to the organization prior to the events. Assist with visitor agenda during their visit to Singapore or Beijing Innovation Centers.

  • Assets management: Beauty Revealed Capital asset management, including WBS generation, quote sourcing if required and possible budget tracking. Assist the BR functions in asset cycle count.

  • New Hire On-boarding/off-boarding – Ensure completion of tasks during on/off boarding process, such as application of IT access, setting up profile in the system, or completing the departure checklist. You will be responsible to handle those process as well.

  • Ad Hoc requests: support organization for any miscellaneous ad hoc tasks that may be requested

Job Qualifications

  • Diploma in Business Administration or related fields;

  • 3-5 years related experience or general admin experience; Experience supporting Quality Assurance related tasks is a strong advantage;

  • To provide timely support for research activities, solid skills in the use of Microsoft applications is needed such as Word, Excel and Powerpoint

  • Experience in handling digital tools (MS SharePoint) and dashboards (PowerBI, Tableau or similar tools) would be preferred;

  • Ability to demonstrate a learning mindset with operational discipline;

  • Adequate oral and written communication skills in English for common business are a must;

  • Ability to work independently and manage multiple priorities to deliver the outcomes in a timely manner;

  • Strong interpersonal and communication skills to connect with people from different cultures and levels;

  • High level of attention to detail
