Functional Description

The Credit and Fraud Risk Team of American Express is looking for a dynamic Executive Assistant (EA), who has prior experience in supporting C-suite leaders and becoming an integral part of a dynamic and fast paced business within Singapore Decision Science, Centre of Excellence (CoE) team, that requires seamless collaboration and coordination across a wide range of stakeholders inside and outside of American Express.

The ideal candidate must have strong business ethics & discretion, experience in handling a wide range of administrative related tasks, have an interest and passion in learning and contributing beyond the day-to-day administrative aspects of the role and be able to work independently, multi-task and operate under tight timelines. Building strong relationships, ability to manage and operate in a dynamic environment, being resourceful and understanding how to navigate a large organization will be imperative for success in this role.

Responsibilities

  • Calendar Management – Calendar Management for the MD and senior leaders. Assist in organizing meetings and scheduling appointments, taking responsibility for the total management of calendars across multiple time zones, makes administrative decisions and requests on behalf of high level leaders to provide complex calendar management.

  • Travel – Responsible for coordination and management of international travel arrangements including flights, meals, airport transfers, accommodation and visa applications to ensure efficiency and optimization of senior leaders’ time.

  • Expense – Management of expense report with accurate and timely submission, tracking of expenditure and expense processing, ensuring it is in line with company’s Travel & Expense policies.

  • Events Management – Strong ability in planning or assisting in the hosting of Senior Leaders’ site visits that may include attendee invites, hotel/transportation arrangements, conference room reservations, catering/restaurant reservations, team-building activities, and production of materials. Work with other executive assistants to organize and coordinate activities associated with town halls and other colleague-related activities and events.

  • On-boarding – Ensuring all new hires are issued with the required technology & office supplies.

  • Seamless collaboration and communication across a wide range of stakeholders both inside and outside of American Express.

  • Develops a deep knowledge of the overall business group strategy and acts as an information resource to the team.

Qualification

  • Exceptional interpersonal, organizational and administrative skills.

  • Excellent communication skills, both written and oral; strong interpersonal, influencing, and collaborating skills.

  • Proven ability to manage multiple priorities, work within tight deadlines in a fast-paced, dynamic environment and execute across multiple initiatives/tasks with accuracy, quality, follow through and sense of urgency in execution.

  • Ability to think ahead, identify problems, determine possible solutions, and actively work to resolve issues.

  • Ability to operate with a high level of integrity when handling sensitive issues and maintain complete confidentiality.

  • High level of proficiency using MS Office including Word, Excel and PowerPoint, as well as internal AXP (or related) tools and systems – Including WebEx, MS Outlook, SharePoint, Concur, Payroll, One Drive, MyInfo and IT Service Catalog.

  • Awareness and understanding of key company compliance policies and procedures.

  • A good team player who is motivated, dependable and enthusiastic.

  • Demonstrated ability to remain calm under pressure.
