Summary
The HR & Payroll Coordinator plays a key role in supporting payroll processing and human resource operations. This position is responsible for processing biweekly payroll, handling payroll adjustments, assisting with benefits reconciliation, and supporting HR administrative functions. Key responsibilities include maintaining employee records, facilitating onboarding and offboarding, coordinating HR events, responding to employee inquiries, and ensuring smooth HR operations. The ideal candidate will have strong attention to detail, organizational skills, and the ability to handle confidential information with professionalism.
Essential Duties and Responsibilities
Payroll - under the direction of the Total Rewards Manager
Process biweekly payroll, off-cycle adjustments, and other authorized payroll transactions, and provide weekly hours reports to temporary agencies
Verifies and enters payroll adjustments, retro pay, refunds, and other pay related matters
Assist with garnishment, and support order processing and responses to agencies
Assist with ensuring smooth operation of ADP and timeclocks across all locations
Assist with compiling data for participation in multiple external compensation surveys
Assist with auditing benefit invoices, reconciliation, and discrepancy resolution
HR Assistant
Create and maintain accurate and up-to-date employee records, both physical and digital and other employment related documentation in a confidential manner
Run regular and ad hoc reports for KPI tracking and other people metrics
Facilitate the onboarding process for new hires, including preparing paperwork and coordinating orientation programs
Conduct employee off-boarding
Plan and coordinate HR and office events including booking conference or meeting space, organizing meals and activities
Answer employee inquiries related to HR matters
Communicate effectively with employees and management to ensure smooth HR operations
Collaborate with other departments to support HR initiatives
Maintain office supplies inventory and ensure resources are available
All other tasks as assigned.
Qualifications
Education & Experience:
Associate’s or Bachelor’s degree in Human Resources, Business Administration, Accounting, or a related field preferred.
1-3 years of experience in payroll processing, human resources, or administrative support.
Experience with ADP or other payroll/timekeeping systems is a plus.
Prior experience handling confidential employee information and HR documentation is preferred.
Skills & Competencies:
Strong attention to detail and accuracy in payroll and data entry.
Excellent organizational and time-management skills to handle multiple tasks efficiently.
Ability to maintain confidentiality and handle sensitive information with professionalism.
Strong verbal and written communication skills to interact with employees and management.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and HRIS/payroll systems.
Problem-solving mindset with the ability to resolve discrepancies and inquiries.
Ability to work both independently and collaboratively in a team environment.
Other Requirements:
Knowledge of payroll regulations, garnishments, and benefits reconciliation is a plus.
Willingness to adapt and assist with various HR functions as needed.
