Essential Functions

  • Manager facility maintenance program, including monitoring and updating maintenance schedules and records and overseeing agreements, service standards and scope with third parties.

  • Consult with authorities and legal experts to ensure all facilities and related projects are compliant with federal, state and local safety codes and ordinances such as those regulated by the International Code Council (ICC) and National Fire Protection Association (NFPA).

  • Ensure Company policies and procedures related to physical infrastructure and building operations are accurate, current, and in compliance with federal, state and local regulations.

  • Facilitate the process related to new facilities identification, contracts, including lease and service agreements. Advise on commercial and legal terms as appropriate.

  • Manage existing lease agreements.

  • Facilitate process for obtaining environmental assessments, permits and state/local licensing for real estate agreements and projects.

  • Organize RFP, vendor review/selection and project execution.

  • Review cost estimates and establish project schedules for a variety of facilities projects including repairs, improvements and installations.

  • Manage issues relates to utilities for Company facilities including electrical power, light, waste and water.

  • Coordinate with QHSE on activities such as fire drills and inspections.

  • Manage invoices related to facilities management.

  • Provide data and reports necessary for stakeholder updates and decisions.

  • Respond to ad-hoc facility issues and resolve in a timely manner.

  • Manage Company resources such as front desk reception and other facilities staff.

  • Manage all aspects of required document retention for company sites.

  • Perform other duties and responsibilities as assigned.

Requirements:

  • Bachelor’s degree or higher in Business, Operations Management, Supply Chain or related discipline.

  • 10 years of experience in facilities management or related area.

  • 3 years of experience managing internal staff and overseeing service provider execution.

  • Proven history of negotiating commercial lease and sale agreements.

  • Knowledge of health, safety and environmental regulations.

  • Knowledge of general maintenance methods, operating requirements, and HSE precautions related to facilities management.

  • Certified Facility Manager (CFM) credential preferred, but not required.

  • Skilled in Building Management Systems maintenance and monitoring.

  • Ability to communicate clearly and effectively with internal and external functional teams.

  • Excellent customer service skills.

  • Ability to manage multiple projects simultaneously.

Education & Experience Requirements

Bachelors Degree or equivalent. 10 years experience. Excellent communication, presentation, and customer service skills. Ability to analyze problems and develop solutions. Ability to negotiate to successful ends. Ability to work as a team member and operate under stringent timelines. Ability to develop and maintain effective working relationships. Professional certifications may be required.

Position Summary

Responsible for facility management of one or more geographic locations including buildings and grounds. Manages the functional operation, support systems, safety and security of the location. Recommends budget and capital expenditures related to facilities and facility operations. Prepares cost estimates and determines allocation for building renovations or office / non-office space. Ensures facilities conform to all requirements of a legal and regulatory nature. Responsible, in conjunction with legal, for the oversight of all terms and conditions of a facility's rental contracts. May have responsibility for building security, cafeterias, or other associated facilities. Prepares and presents necessary budgetary and management reports. Handles special projects, as assigned.
