The GS EMEA’s satellite is based in Thessaloniki, Greece and was founded in 2016. We perform global and standardized processes, mainly back office tasks for the internal customers, we employ more than 300 employees and we are now seeking for our company in Thessaloniki, the below role.

Your Role

The role acts as the first point of contact in the Company and provides administrative support in the organization. Manages the flow of people and ensures that all work in the area of work of the Corporate Receptionist is completed accurately and neatly and delivered in a high quality and on time. Additional support to organizational initiatives and projects may be provided (e.g. KN Experience).

Furthermore this role supports the Facility Management and QSHE Team in assuring the effective functioning of a facility to provide an efficient and safe working environment for employees and their activities by using best business practices to manage resources, services and processes to meet the needs of the company. They support Facility Management to make sure the buildings and grounds are maintained, which entails assisting and coordinating daily and weekly cleaning schedules as well as determining and scheduling repairs, renovation projects, waste reduction improvements and safety inspections.

Your Responsibilities

• Welcomes, greets and directs guests, addressing them appropriately

• Performs other tasks in the field of work, such as maintaining the guest list, booking hotels and transportation for foreign KN visitors

• Support facility management in maintaining program including preventative maintenance and life-cycle requirements

• Coordinates with FM the conduct and document of regular facilities inspections

• Coordinate intra-office moves, allocate and manage facility space for maximum efficiency

• Supervise maintenance and repair of facilities and equipment

• Assistance to FM and direct liaison for facility services such as cleaning, catering, waste disposal and parking

• Obtain quotes from suppliers, compare costs for goods and services and potentially negotiate to maximize cost-effectiveness

• Coordinate with FM and monitor activities of contract suppliers

• Assist FM to review service contracts to ensure facility management needs are being met

• Verify payment and invoicing match contract pricing

• Other administrative tasks
