Aston Carter Order Entry Coordinator in Tustin, California

Job Description:

As a Service Coordinator, you will be responsible for processing and scheduling new Service Work Orders using our CRM system. Your tasks will include preparing and processing service quotes, orders, and tickets, logging technician check-ins, and coordinating field service activities. You will interface with Field Services Engineers, third-party Technicians, General Contractors, Electricians, and Tile vendors to ensure the completion of Service Work Orders. Additionally, you will review service paperwork, communicate with Account Managers, update our ERP system, maintain job status, and follow up on service schedules.

Responsibilities:

  • Process and schedule new Service Work Orders using the company’s CRM system.

  • Prepare and process service quotes, orders, and tickets.

  • Log technician check-ins and check-outs.

  • Coordinate field service activities.

  • Interface with Field Services Engineers, third-party Technicians, General Contractors, Electricians, and Tile vendors to complete Service Work Orders.

  • Review technician service paperwork to confirm service completion and accuracy.

  • Communicate and interact with Account Managers to revise purchase orders and NTE as required.

  • Update the company’s ERP system for each device replaced.

  • Maintain job status and update customer work order portals or communicate directly with customers via email/phone.

  • Follow up on Service Work Orders to ensure they are on schedule.

  • Process return labels and RMAs for unused products.

  • Verify vendor invoices for accuracy.

  • Post new Service Orders in the company's order processing system upon job completion.

  • Attach required documents and process Service Orders for invoicing.

  • Create and monitor reports as needed.

Additional Skills & Qualifications:

  • ERP or CRM knowledge - Microsoft Dynamics is ideal but not required.

  • 1+ years of experience in install, field service coordination, or dispatch.

  • Recent college graduates looking to start their career are welcome.

  • Experience in a construction or manufacturing environment.

  • Proficiency in Microsoft Office.

  • Experience with invoicing and order processing.

  • Project scheduling and coordination skills.

Pay and Benefits

The pay range for this position is $20.00 - $23.00/hr.
