Office for Access and Equity - AAD Division

Provides administrative support to the Director of the ADA division and case management support for the workplace accommodation process.

Duties & Responsibilities

Case Management

  • Create and process new accommodation cases within 24 hours of report/request and maintain updates on ongoing cases to ensure that case files are up to date, including creating reminders for upcoming deadlines, maintaining notes, and obtaining required documentation.

{=html} <!-- --> - Assist Accessibility Specialists with meeting schedules, appointments, interactive processes meetings, and ergonomic assessments. - Assist employees and physicians as they complete/fulfill the medical release forms/requests. This includes tracking and monitoring the completion and receiving medical documentation and following up via phone calls to treating physicians to ensure that the documentation is sufficient and meets ADA Division requirements. - Assist callers with ADA process questions and concerns according to ADA Division policies and procedures. - Run weekly and ad hoc reports through the ADA Division database to provide ADA Division with up-to-date information (run standard and customized reports from the database as needed). - Gather data as directed to respond to FOIA or other required reporting.

Office Operations

  • Answer incoming calls in a professional manner by providing relevant guidance and service.
  • Provide day-to-day administrative support to the Director as well as intermittent support for other ADA staff, as necessary. Assist with managing the Director\'s schedule and calendar.
  • Provide clerical support for special assignments and projects.
  • Prepare, edit, proofread, and format letters, emails, and various other confidential and highly sensitive documents. Assist with conference registration, travel planning, and expense report for ADA staff as needed.
  • Maintain office supplies and equipment.
  • Purchase equipment, supplies, travel, etc. with Tcard, Pcard, and iBuy orders.
  • Maintain records/receipts for all ADA Division financial transactions.
  • Perform related duties as assigned.

1\) High school diploma or equivalent. 2\) Any one or combination totaling two (2) years (24 months) from the categories below: A. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent: 30 semester hours equals one (1) year (12 months) Associate\'s Degree (60 semester hours) equals eighteen months (18 months) 90 semester hours equals two (2) years (24 months) Bachelor\'s Degree (120 semester hours) equals three (3) years (36 months) B. Work experience performing office/clerical activities, including the use of computer systems. 3\) One (1) year (12 months) of work experience comparable to the second level of this series. **Preferred Qualifications** One year of experience working at a university. 1+ years of data entry and reporting, including database experience. **Knowledge, Skills and Abilities**

Appointment Information

This is a 100% full-time Civil Service Office Support Special st position, appointed on a 12-month basis. The expected start date is as soon as possible after Friday, June 28, 2024. The targeted salary is \$40,400. We strive to provide a competitive salary, considering factors such as available mark data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements. Work sponsorship is not available for this position.
