Volunteer Services Coordinator - Full Time - Days

Department: VOLUNTEER OFFICE

Job Summary

Provides administrative and secretarial support to the Director of Volunteer Services. Coordinates vendor sales for the FSLH Volunteer Association and the SEMC Guild at all campuses, including St. Elizabeth Medical Center (SEMC). Processes vendor sale and gift shop payroll deductions and calculates commissions and vendor payments. Screens and processes new volunteers. Assists with providing coverage of all volunteer positions on a daily basis including evenings and weekends. Secures substitutes or fills in as needed. Maintains accurate statistical and financial information and reports. Composes and types correspondence, forms and reports. Must be willing to perform work related duties beyond the normally scheduled hours if needed.

Core Job Responsibilities

  • Coordinates all vendor sales sponsored by the FSLH Volunteer Association and SEMC Guild, includes selection of vendors, scheduling of rooms, inputting and reconciling payroll deductions, and calculating commissions and vendor payments.

  • Works collaboratively with the SEMC Director of Volunteers for SEMC campus sales.

  • Cashes out registers in gift shops and makes daily deposit of funds. Inputs and reconciles gift shop payroll deductions.

  • Assists with buying and inventory recording for the gift shops and e-commerce store

  • Screens and processes new volunteers to assure compliance with all requirements.

  • Assists with providing coverage of all volunteer positions on a daily basis including evenings and weekends. Secures substitutes or fills in as needed

  • Assists with daily recording of volunteer hours and management of the volunteer database

  • Conducts initial and annual volunteer competency reviews

  • Assures compliance of annual mandatory in-service for all volunteers

  • Schedules, prepares information for, and attends monthly Volunteer Association Board meetings. Takes and transcribes minutes in the absence of the recording secretary

  • Orders department supplies, prepares work orders as needed and submits duplication requests

  • Performs responsibilities of the Department Director in the absence of the Director

  • Other duties as assigned

Education/Experience Requirements

Required:

  • Bachelor's degree; previous retail experience

Preferred:

  • Knowledge of P.O.S. systems

  • Previous expeirence in a similar setting
