GENERAL DESCRIPTION:

Performs assignments with varying difficulty under limited direction in the Business Division of the Secretary of State's Office. The position is responsible for processing, maintenance, and quality control of records and documents. This position does not supervise other positions but may train other staff or assist with unique filing issues other staff may encounter.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

  • Perform technical work in the review, filing, and rejection of business entity documents, Uniform Commercial Code, and Effective Financing Statements.

  • Perform complex assignments, involving trademarks, conversions, mergers, domestication, continuances, consolidations, and transfers.

  • Process, issue, and sign certificates based on statutory authority.

  • Provide outstanding customer service via in-person, phone, and e-mail to assist persons seeking to start businesses, change business names, record trademarks, merge organizations with other businesses, and similar administration authorized by Wyoming statutes.

  • Correspond with commercial registered agents relating to statutorily required agent duties.

  • Ability to use custom software programs to scan, record, update, receipt, retrieve and certify business formation and commercial transactions.

  • Additional duties as may be assigned.

Qualifications

PREFERENCES:

Preference may be given to those persons with higher-level clerical and administrative assistant skills and computer experience.

KNOWLEDGE:

  • Knowledge of Wyoming Statutes pertaining to Business Entities, Trademarks, Trade Names, UCC Filings, and Effective Financing Statement

  • Knowledge of basic accounting and business principles

  • Knowledge of records processing and maintenance procedures and systems

  • Knowledge of investigating alleged non-compliance

  • Skill in customer service

MINIMUM QUALIFICATIONS:

Education:

Associate's Degree (typically in Business)

Experience:

0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

OR

Education & Experience Substitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

Necessary Special Requirements

PHYSICAL WORKING CONDITIONS:

  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.

  • Special physical demands are not required to perform the work.
