POSITION: Private Events/Administrative Coordinator

DEPARTMENT: Sales

REPORTS TO: Private Event Sales Manager

FLSA STATUS: Non-Exempt

Essential Duties:

  • Resolve routine and non-routine problems based on knowledge or priorities, policies, procedures, or practices; discreetly handle confidential information.

  • Prepare contracts, correspondence, reports, forms, and records or notes. Edit written work as needed to note missing or questionable data.

  • Assist with coordination of client servicing during events for Premium and private Event Clients.

  • Assist with online research to grow the pipeline of possible new clients.

  • Generate and distribute invoices for events.

  • Assist Finance Manager with uploading and coding of invoices into finance software to ensure prompt payment to vendors.

  • Create, organize and maintain files as needed.

  • Assist with preparation of sales materials.

  • Create and Other duties as assigned.

    Required Qualifications (Job Knowledge, Skills, and Education):

  • A minimum education level of High School Diploma or its equivalency

  • Years of related work experience: 2-4 years’ previous administrative experience

  • Must have good written and verbal skills.

  • Ability to consistently prioritize projects, meetings, and fast-changing schedules while remaining productive and professional.

  • Proficient in Microsoft Office Suite, adaptability to learn current CRM, INFOR, as business needs dictate

  • Ability to work varying schedules based on the business needs of the company.

  • Ability to remain in a stationary position for extended periods of time.

    Preferred Qualifications :

  • BA/BS Degree

  • Previous experience at a hospitality company or sports venue preferred.

  • General knowledge of database/CRM software

  • Adobe creative suite
