Tiffany & Co. Specialist, Inventory Control in Whippany, New Jersey
Position Overview:
The Inventory Control Specialist is responsible for analyzing departmental reports to identify inventory discrepancies and process systematic adjustments to reconcile physical and financial inventory. Specialist will process timely and accurate financial adjustments in accordance with Delegation of Authority. They will facilitate the release of customer and store orders through administration of IBTs and Unselected/Open order processes. Specialist will perform cycle counting and variance reconciliation. Assuring our 99.99% accuracy levels to both our international and domestic replenishment markets through auditing outbound cartons and confirming the contents of the carton are within compliance (sku count, sku, compliance regulation by country, VAS requirements) and match the shipping manifest.
Shift: Monday-Friday 12:00pm-8:30pm.
Key Accountabilities:
Utilization of Tiffany systems for processing of all inventory adjustments and product movements in accordance with Sarbanes-Oxley, including:
Processing all necessary adjustments (return to stock, damage, right/wrong, etc.) in accordance with Delegation of Authority
Administration of Missing Assets through the Missing Asset Reporting process, including investigation and write-offs
Monitoring the Inter-building Transfer(IBT) spreadsheet, investigation of stock levels and prior IBT movements along with entry of requested Manual IBTs
Processing Reallocations and maintaining the SR Reserve as necessary
Cancellations of Distribution Orders and Picktickets
Investigation and resolution of pick exceptions and packing issues
Consolidating SKU’s from multiple locations
Creating, monitoring, performing second counts, and reconciliation of cycle counts including investigations and inventory adjustments
Updating and maintaining Item Master
Audit outbound carton for count, SKU, vas requirements and compliance accuracy:
Increase accuracy outbound levels to 99.99% by successfully auditing outbound cartons against sampling plan by country and rectifying errors encountered during the audit
Reduce errors shipped out of the Retail Service Center to limit international customs delays and financial implications due to improper importation
Escalate error findings to allow to meet outbound Turn time and shipping dates
Walk through distribution shipping dock and visually check all cartons of countries requiring VAS have correct VAS markings
Utilization and analysis of departmental tools and reports to discover and resolve inventory imbalances and discrepancies, communicate findings and provide service to other departments, including:
Utilizing the Unselected report for CFC and EFC and the Open DO report for the RSC to identify orders that have not waved. Communicate with Distribution and Sales Channels for necessary inventory movements for unreleasable picktickets and resolving stock issues pertaining to the unselected orders
Monitoring and responding to the Inventory Control mailbox, including immediate resolution (if possible) and forwarding of issues to appropriate parties
Maintain consistent verbal & written communication that is professional, timely and accurate
Investigation, resolution, updating and communication of SKUs appearing on the following reports: Warehouse comparison reports (RSC, CFC, EFC), China and 768 comparison report, shipped not billed report, international discrepancies and the near miss report.
Data Entry of outbound carton audit findings through approved software (currently Microsoft Excel)
Maintain department checklists, forms, schedules and reports
Miscellaneous:
Walk through Distribution areas and engage employees to identify learning successes and areas of opportunity
Support Distribution warehouse holiday operations as needed
Flex between buildings as needed to support staffing needs
Assist in inventory related projects as assigned including training as needed.
Work safely at all times by consistently following safe work procedures for an Inventory Analyst, as well as all safety procedures required at your worksite. Promptly report all incidents and safety issues to your assistant manager.
