Logan Health HUC - Health Unit Clerk - Whitefish - Full-Time in Whitefish, Montana

Job Description Summary:

Provides Secretarial support to the Professional Nursing Staff and Physicians by performing diversified secretarial functions in the Medical Surgical Unit

Qualifications:

Required:

  • Strong background in medical terminology and one year of secretarial experience or equivalent training in the medical field.

  • Proficient in use of computer, proficient in data entry with high degree of accuracy.

  • Able to work independently and manage multiple projects; effective organizational skills and attention to detail.

  • Effective verbal and written communication skills and excellent grammar and proofreading skills.

  • Proficient in use of Microsoft Word, Excel, Outlook, Internet Explorer, Publisher, and Power Point.

  • Current CPR or AHA BLS Certification or ability to obtain within two (2) months of hire.

Desired:

  • One year experience as a hospital unit clerk or medical secretary

    Job Specific Duties:

  • Compile and maintain organization of patient charts; make copies of charts; and, retrieve old records from Health Information Management (HIM), patient primary care provider or other facility as needed. Upon discharge, take chart apart and prep for HIM pick up.

  • Maintain Med/Surg Admit/Discharge Log with time of arrival, bed status, name, room number, where they came from and physician name. When patient discharges, log time he/she left the facility and their destination.

  • Various tasks to be performed between 0900-1000 each day:

  • Maintain daily log of patients with Foley catheters, central IV access, ventilators and/or restraints;

  • Stock enough ice packets in both Med/Surg freezers to accommodate needs for 24 hours;

  • Maintain daily temperature log for Med/Surg Blanket Warmers; and

  • Maintain daily log monitoring operation/supplies of Med/Surg AED.

  • Notify Hospital Coordinator (HC), Dietary, Housekeeping and Front Desk of discharge.

  • If patient lists a doctor from Glacier Medical Associates as their primary care physician, call 863-4150 to notify them of discharge.

  • Upon discharge of orthopedic patients to Skilled Nursing Facility (SNF), FAX patient discharge instructions to the surgeon, including name of the SNF for surgeon follow-up.

  • Assess and order supplies through weekly in-house requisition and/or Staples.

  • Answer telephone and provide appropriate information for inquiries or transfer call to appropriate person.

  • Assist in paging and transferring calls per "Paging Policy".

  • Greet and direct patients, visitors and physicians in a courteous manner.

  • Maintain nurse's station, storage cabinets and file drawers, keeping areas clean and organized.

  • Maintain Med/Surg and Ortho Call Back Lists

  • Add name, phone number, discharge date and other pertinent data to either Ortho or Med/Surg Call Back List each time a patient is discharged.

  • Make follow-up calls to discharged patients in a timely manner.

  • Assist with performance improvement projects as requested.

  • Maintain ongoing computer list with pertinent data for each patient.

  • Assist with preparation of appropriate paperwork to accompany patients being discharged or transferred.

  • Upon discharge of each patient, FAX appropriate documents (usually History and Physical and Physician’s Discharge Summary) to patient’s Primary Care Provider and/or other designated care providers.

  • Diet Orders

  • Communicates with nursing staff when diet orders have been processed.

  • Lab Orders

  • Communicates with nursing staff when there are lab orders requiring a urine/stool specimen, processing the order in computer and/or delivering specimen to lab as needed.

  • Deliver specimens to lab as needed.

  • Assist with collecting data on admissions: Orientation to room, bed and facility, name of primary care physician.

  • Notify assigned staff of all patient activity (i.e., post-ops, admissions).

  • Retrieve supplies, equipment for staff, patients or physicians.

  • Respond to all Code Blue situations as liaison person for family members. Call Chaplain or outside clergy as needed or desired by family. Also, bring AED where appropriate. (Except SCU, ER, OB and all Surgery areas.)

  • Maintain confidentiality of patient information.

  • Does not discuss personal or work related problems with patient.

  • Answer call lights as needed and notify staff of patient needs.

  • Report defects and/or malfunctioning equipment.

  • Practice Universal Precautions, i.e., good hand washing.

  • Keep HC and appropriate ancillary departments informed of changes in patient census.

  • Facilitate communication among hospital personnel, physicians and outside agencies.

  • Listen courteously and attentively to patients, families, physicians, peers and staff.

  • Communicate in an understandable and diplomatic way.

  • Maintain a helpful and courteous attitude, show tact and understanding to patients, families, physicians, and staff.

  • Strive to problem-solve by using proper communication channels and chain of command

Schedule:

Logan Health operates 24 hours per day, seven days per week. Schedules are set to accommodate the requirements of the position and the needs of the organization and may be adjusted as needed.
